Assistant Coach, Executive Director, Football Operations and Logistics

Job Summary

The Executive Director, Football Operations and Logistics collaborates with the Chief of Staff to manage program-wide synergies, overseeing scheduling, content, and communications between coaching staff, student-athletes, and DIA administration while serving as a primary point of contact for daily operational execution. This position will also serve as a central point of contact for high-level logistical execution within the program.

Duties and Responsibilities

  • Strategic Leadership
    • Collaborate directly with the Football Chief of Staff to design high-level operational strategies and execute comprehensive yearly, monthly, and weekly program schedules.
    • Partner with the coaching staff to assist in game planning, preparation, and strategic planning.
    • Serve as a point of contact and communication pipeline between the coaching staff and athletic administration.
    • Analyze and refine organizational strategies and workflows, delivering recommendations to leadership for program enhancement and risk mitigation.
    • Oversee that all policies are being followed to support DIA, campus, and NCAA standards.
    • Manage branding strategy for Illinois Athletics and the Head Coach by coordinating and developing communication plans and schedules for the Head Coach.
  • Operations & Travel Management
    • Manage the logistical execution of all away games, including securing commercial or charter aircraft, travel party ground transportation, and hotel contracting.
    • Conduct advance site visits to upcoming road game destinations to inspect hotel accommodations, meeting room layouts, security protocols, and catering capabilities.
    • Serve as the point person for complex bowl game or postseason travel, managing extended stays for travel parties frequently exceeding 250 individuals, including players, coaches, support staff, and administration.
    • Execute operational support for high-impact initiatives, including community engagement, team-bonding, and recruiting events.
    • Assist in management of the UIUC Police liaison program.
      Budget
    • Monitor and analyze the comprehensive program budget, including building annual team travel projections.
    • Create and manage the program travel budget, ensuring fiscal responsibility.
    • Hold authorization for P-card and T-card purchases on behalf of the program.
    • Prepare requisitions and purchase order requests through iBuy or Banner systems and coordinate vendor establishment processes.
    • Coordinate with the Business Office regarding special payment arrangements with vendors.
    • Manage the team per diem card program for current student-athletes, staff, and official visits, including ordering cards and reporting lost or stolen cards in collaboration with Financial Operations.
      Compliance
    • Uphold rigorous compliance standards, ensuring all football operations adhere to NCAA, Big Ten Conference, and University of Illinois regulations.
    • Sync with Compliance, Academics, and Administration to unify departmental policies and ensure seamless process alignment.
    • Assist with student-athlete time management and CARA logs in collaboration with the Assistant AD to guarantee accurate reporting.
    • Assist the Director of Football Operations in student-athlete support programs, including streamlining off-campus housing processes and ensuring financial aid compliance.
  • Team & Building Operations
    • Compile, analyze, and manage statistical data to inform gameday strategy and decision-making.
    • Partner closely with the Team Nutritionist to operationalize all facets of the Training Table, including scheduling, space allocation, vendor and catering logistics, and quality control for team fueling environments.
    • Coordinate team meal scheduling in collaboration with Nutrition staff.
    • Manage Teamworks and football-related communication platforms.
    • Manage communication schedules and protocols to players and staff through communication platforms such as Teamworks.
    • Manage internal player logistics, including coordination and programming of facility biometric/fingerprint access and distribution of player parking access.
    • Serve as a football liaison for building operations and capital improvement projects.
    • Conduct daily walkthroughs of the football complex, including lobby areas, locker rooms, corridors, and meeting rooms, ensuring graphics, displays, trophy cases, and lighting are maintained at a high standard for daily operations and recruiting visits.

Minimum Qualifications

Education: Bachelor's degree in Sports Management, Communication, Business or closely related field Experience: three years Division 1 football administrative experience

Preferred Qualifications

Four years Power 4 Director level football operations experience

Appointment Information

This is a 100% full-time Academic Professional position, appointed on a 12-month basis. The expected start date is as soon as possible after 6/15/2026. Salary range is $140,000 - $175,000 and commensurate with experience. This position is not eligible for any type of sponsorship for work authorization.
