The Illinois Center for Transportation (ICT) within the Department of Civil & Environmental Engineering at the Grainger College of Engineering seeks applicants for the position of Program Coordinator. This individual will be responsible for coordinating the functions of ICT and serve as a liaison between the Director, faculty, staff, students, and external parties; utilizing creative thinking and problem solving to enhance and develop processes and operations to strive for optimal productivity and effectiveness.
This position is located at the Illinois Center for Transportation (ICT) in Rantoul, IL. ICT is located on Rantoul’s former Chanute Air Force Base and the future site of the 238+ acre Illinois Autonomous and Connected Track (I-ACT). ICT leads the rapidly growing field of smart mobility. Duties and Responsibilities:
- Coordinates daily operational activities for the Center and its leadership, organizing information and materials needed to support timely decision-making.
- Delivers strategic administrative coordination for ICT and the leadership team by managing operational workflows and communications across faculty, staff, and students; facilitating alignment with strategic priorities, assisting with policy implementation and training of center initiatives.
- Coordinates, and manages ICT’s annual Illinois Bituminous Paving Conference that addresses specific research needs with multiple sponsors, including program coordination, management of conference marketing, registration, attendance, etc.
- Uses independent judgment and actions and exercises individual authority based upon level of knowledge and professional experience to actively participate in meetings, prepare discussion summaries, and communicate findings to various stakeholders, specifically related to the Bituminous Conference and ICT events.
- Manages the editing of confidential and non-confidential documents to adhere to ICT style guidelines, including but not limited to conference materials, articles, memorandums, etc.
- Responsible for managing the primary Purchasing card (P-Card) and Travel Card (T-Card) for the Center according to applicable University and College policies and procedures.
- Handles a variety of sensitive and confidential assignments and projects along with other duties as assigned to further the mission of the center.
Minimum Qualifications:
- Bachelor's degree in business management, communication, administration, or a field related to the position.
- A total of two (2) years (24 months) of education, training, and/or work experience in administrative or program coordination
Preferred Qualifications:
- A total of four (4) years (48 months) of experience in administrative or program coordination.
Knowledge, Skills and Abilities:
- Excellent detail-oriented, organizational, and administrative skills to operate effectively in a fast-paced, multi-faceted work environment.
- Ability to independently organize and prioritize daily duties.
- Ability to multi-task, while coping with numerous interruptions and maintain a calm and pleasant demeanor.
- Flexibility to adapt to sudden changes in planning and activities.
- Mature judgment when making decisions.
- Initiative to plan and execute work with minimal supervision.
- Demonstrated willingness to learn and ask questions to work in a cooperative and collaborative environment.
- Ability to maintain confidentiality.
- Proficiency in the use of the Microsoft Office suite is required, including power point, Word, and Excel.
- Knowledge of or ability to learn the University of Illinois organization, structure, policies, procedures, activities and programs.
- Knowledge and experience with or willing to learn finance applications.
- Ability to communicate respectfully and effectively with individuals from a wide range of cultural backgrounds and perspectives.
APPOINTMENT INFORMATION
This is a full-time Civil Service Program Coordinator position appointed on a 12-month service basis. The expected start date is as soon as possible after the closing date. The budgeted salary range for this position is $55,000- $60,000. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity. This position will be expected to work at the University of Illinois Urbana-Champaign – Illinois Center for Transportation (ICT) located in Rantoul, IL on a full-time basis per the University’s Workplace Flexibility policy. This position is not eligible for any type of sponsorship for work authorization.
