Job Summary

Serves as the assistant and provides clerical support to the following positions in the Office of Extension and Outreach in the College of Agriculture, Consumer and Environmental Sciences (ACES): Assistant Dean/Program Leader of the Agriculture and Agri-Business (AAB) Program Team which includes: Commercial Agriculture Educators, Horticulture Educators, Local Food Systems and Small Farms Educators, as well as provide clerical support to the Illinois Extension Master Gardener Program.

Duties & Responsibilities

  • Administrative Support
    • Reviews the Assistant Dean/Program Leader's incoming mail, selects and responds independently to general correspondence and provides drafts of responses and/or relevant documentation for policy related communications.
    • Commits the Assistant Dean/Program Leader to individual and committee appointments and provides necessary details, materials and arrangements for such appointments. Maintains daily on-line calendar and informs of scheduled engagements.
    • Assists in the development, adaptation, upgrading and coordination of databases, mailing lists, and records.
    • Serves as liaison between the Assistant Dean/Program Leader and various Extension administrators and staff located throughout the state.
    • Plans travel and makes necessary arrangements and reservations. Independently makes decisions as to the best schedule and accommodations.
    • As directed, composes and finalizes a variety of general, confidential and sensitive documents representing the departmental responsibilities and position on issue.
    • Establishes and maintains existing paper and electronic confidential records and files.
  • Financial Support
    • Maintains awareness of various financial accounts and determines appropriate account to use for expense and revenue transactions.
    • Reviews financial transactions accuracy which includes the reconciliation of month end statements for the Commercial Agriculture Educators. Reconciles and monitors P-Card purchases for Director of Information Technology and Commercial Agriculture Educators.
    • Processes appropriate on-line transactions (Banner, P-Card, i-Buy, TEM) and have a working knowledge of HireTouch for providing reporting supporting for personnel search processes.

Additional Physical Demands

To perform the functions of this position, the employee will be required to perform work both within an office and outside in the communities that are served and must have the capability to travel from one location to the other in a timely fashion. Employee is responsible for securing personal transportation. A valid driver’s license is preferred. Some work will be required during evenings and/or weekends. When working, the employee may be exposed to a variety of environmental factors to include, but not limited to, hot or cold weather, exposure to noise and allergens, and uneven ground. In performing the functions of this position, the employee may be subjected to various mental and physical demands as well to include, but not limited to, independently traveling to and performing work at different locations, ability to move, transfer and/or transport items that may occasionally weigh up to forty (40) pounds and frequently weigh up to twenty (20) pounds, and twisting, pushing and pulling movements. Minimum Qualifications

High school diploma or equivalent.
Two (2) years (24 months) of work experience comparable to the third level of this series.

  • Strong communication skills.
  • Skill in working independently, while positively contributing as part of a professional office team.
  • Good organizational, management, and problem-solving skills.
  • Computer expertise, including Microsoft Office Suite.

Appointment Information

This is a 100% full-time Civil Service 3266 - Office Manager position, appointed on a 12-month basis. The expected start date is as soon as possible. This is a bargained position and as such, the salary is driven by the collective bargaining agreement. The entry-level salary for the classification is $46,975.50.
