Job Summary
Assists in the supervision of activities related to the operation and maintenance of housing facilities via coordination of the operation of 24-7 desks for several residence halls and the supervision of student employees. Performs a wide variety of tasks, which require knowledge and the ability to implement programs, practices and procedures of University Housing; the use of judgment; initiative and the ability to operate computer systems, using word processing, databases and software packages. Engages in daily communication with students, parents, university employees, and the general public.Duties & Responsibilities
- Supervise multiple student staff responsible for desk coverage, including planning, organizing, assigning and reviewing their work and overseeing their selection, training, supervision, and evaluation. The student staff supervised by the Housing Representative have an essential role in risk management, maintaining hall safety and security via work with I-Cards, the Housing card access system and keys and via interactions with residents and duty staff during emergency situations. Supervisors engage and implement University Housing’s inclusion, culture and climate initiatives.
- Work in close collaboration with the Housing Information Office (HIO) to coordinate contractual processes, including but not limited to room changes, contract cancellations, the vacancy option process, early arrival and late departure, and break housing.
- Organize timelines and projects related to desk operations, including but not limited to the opening and closing of multiple halls several times a year, summer operations, residence hall tours, revisions to the desk clerk manual and other procedural documents, and, the ongoing recruitment, selection, and training of student staff.
- Coordinate inventory and maintenance responsibilities via management of area key inventories, management of desk resources (residential keys items for check-out, lost and found, safe contents) and submission of facilities and technology service tickets. Process fiscal transactions involving student accounts including billing for damages, miscellaneous fees and key loans.
- Facilitate staff training on front line customer service practices to ensure the maintenance of positive public relations with students, parents, and university employees.
- Participate in and provides oversite of student staff responsible for marketing on-campus housing options via residence hall tours and assist with the counseling of students and staff on housing matters.
- Recommend changes in housing operations, policies, and procedures, attend meetings (Residential Life all staff meetings, Area staff meetings, Desk Operations meetings, meetings specific to committee assignments), and communicate with students, staff, and constituents.
- Establish, modify, and maintain office and programming supplies and a comprehensive file system which may include confidential materials. Provide oversight of the distribution of campus, U.S. mail, and other deliveries to staff and students, and distribution of student resources from campus units sent via Housing Administration. Perform other duties as assigned.
Minimum Qualifications
- High School Diploma, GED, or equivalent.
- Any combination totaling two years from the following categories:
- Housing, residential life, hospitality, business, or closely related work experiences.
- College course work in Higher Education Administration, Student Personnel Administration, Hospitality Sciences, Business Sciences, Social or Behavioral Sciences, or related disciplines, as measured by the following conversion table or its proportional equivalent:
- 30 semester hours equals six (6) months
- 60 semester hours or Associate's Degree equals one (1) year
- 90 semester hours equals two (2) years
- 120 semester hours or Bachelor's Degree equals three (3) years
- Master's Degree or higher equals four (4) years
Knowledge, Skills and Abilities
- Managerial abilities, including skill in decision making by considering the relative costs and benefits of potential actions and choosing the most appropriate one.
- Ability to coordinate and complete several activities simultaneously.
- Ability to communicate effectively with students, parents, university employees, and the general public.
- Ability to work with, counsel, and advise students, staff and the public.
- Supervisory knowledge.
- Ability to learn and engage in general human resource practices including interviewing, selection, training, payroll management, and human resource policy enforcement.
- Ability to write simple reports, routine procedures, and standard business correspondence.
- Basic knowledge of office correspondence, business reports, record keeping, and bookkeeping or accounting practices.
- Ability to complete detailed tasks in a timely and accurate manner.
- Ability to operate computer systems, using word processing, database and software packages.
- Ability to build and maintain effective working relationships with colleagues and students while working with all individuals in an inclusive manner.
Appointment Information
This is a 100% full-time Civil Service 0044 - Housing Representative position, appointed on a 12-month basis. The expected start date is as soon as possible after 5/25/2026. The collective bargaining agreement sets a wage of 24.090/hour (46,975.50 annual). We strive to provide a competitive salary, considering factors such as available market data, internal equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. The final salary offer will be determined through a thorough assessment of these elements.
