The Department of Electrical and Computer Engineering (ECE) in The Grainger College of Engineering seeks applicants for an Accounting Officer position. Under direction of the Business and Finance Coordinator, this position performs complex business and financial duties in support of the faculty, staff, and students within ECE.
Duties and Responsibilities:
· In accordance with departmental and University policies and procedures, process travel reimbursements, miscellaneous expense reimbursements, and invoices for faculty, staff, and students. This includes reviewing Banner to verify fund availability and resolving any issues with the requestor. Reconcile statement transactions to ensure compliance with University polices.
· Adhering to departmental and University policies and procedures and utilizing the Emburse Enterprise system, purchase eligible travel accommodations (airfare and hotel reservations), business meals, and catering services for faculty, staff, students, and departmental guests using the Travel Card (TCard). Process conference registration and membership dues payments using the Purchasing Card (PCard).
· Maintain a comprehensive understanding of departmental and University business and finance regulations, procedures, practices, and policies to interpret and/or compose correspondence, along with answering travel related inquiries from faculty, staff, and students. Provide training to faculty, staff, and students on TCard use and reimbursement policies and practices.
· Assist with processing check deposits and incoming revenue received, including registration payments, expense reimbursements, sponsorships, gifts, overpayments, and other deposits.
· Serve as backup to other administrative staff for business and financial duties as needed.
· Establish and maintain complex and confidential electronic filing system.
· Perform additional appropriate business and finance duties to further the mission of the department.
Minimum Qualifications:
· High school diploma or equivalent.
· Any one or combination totaling two (2) years (24 months) from the categories below:
- Course work in accounting, as measured by the following conversion table or its proportional equivalent:
- 9 semester hours equals two (2) years (24 months)
- Course work in any discipline as measured by the following conversion table or its proportional equivalent:
- 30 semester hours equals one (1) year (12 months)
- Associate's Degree (60 semester hours) equals eighteen (18) months
- 90 semester hours equals two (2) years (24 months)
- Work experience in bookkeeping, office support, or closely related experience.
Knowledge, Skills and Abilities:
· Knowledge above the rudimentary understanding of bookkeeping practices and procedures and accepted accounting principles.
· Knowledge of University and departmental business and finance policies, rules, and regulations.
· Knowledge of administrative and clerical procedures and systems such as Microsoft Word, Excel, managing files and records, and other office procedures.
· Active listening and critical thinking skills.
· Organizational and time management skills and the ability to prioritize tasks.
· Ability to communicate effectively as appropriate for the needs of the audience.
· Ability to compare numbers and detect errors efficiently.
· Ability to compile complex financial records and prepare routine financial reports or statements.
· Ability to take initiative and complete tasks with speed and accuracy.
· Ability to work independently and exercise judgment.
· Ability to maintain strict confidentiality in performing the duties associated with this position.
APPOINTMENT INFORMATION
This is a full-time Civil Service Accounting Officer position appointed on a 12-month service basis. The expected start date is as soon as possible after the closing date. This is a bargained position and as such, the salary is driven by the collective bargaining agreement. The entry-level salary for the Accounting Officer classification is $44,828.68 ($22.989/hour). This position will be expected to work at the University of Illinois Urbana-Champaign campus on a full-time basis per the University’s Workplace Flexibility policy . This position is not eligible for any type of sponsorship for work authorization.
