Job Summary
Provides leadership for the Student Organization Finance Center within the Department of Student Engagement, a unit within the Student Success, Inclusion, and Belonging area of Student Affairs at Illinois. Manages business operations and coordinates financial support to more than nine hundred (900) registered student organizations. Participates as a member of the wider team in supporting the philosophy, programming and development of the overall Student Engagement unit.Duties and Responsibilities
Organization General & Gift Fund Oversight
- Serve as the leader in coordinating all Student Organization General & Gift Funds, totaling more than $2 Million for the Department of Student Engagement.
- Coordinate all student organization financial transactions, including but not limited to payments/purchases/fund transfers on behalf of student organizations (via journal vouchers/feeder forms and P/T-cards), Chrome River invoice and expense report processing, funding board allocation transfers, and requisitions with accuracy.
- Coordinate management of student organization general funds (also known as custodial 9G funds), including but not limited to requesting the creation, maintenance, and termination of funds, monthly reconciliation, deficits, and unclaimed property.
- Manage student organization finances within the designated student organization management system, Banner, My-UI-Financials, EDDIE.
- Provide oversight for all student organization gift funds, including but not limited to the management of current and creation of new gift funds in alignment with university policies. Coordinate processing of gift fund expenses in accordance with established donor intent.
- Process DAWS award allocations for student org scholarships.
- Coordinate processing of payments for annual Quad Day.
- Assist with facilitating required educational orientations and workshops for student organizations related to finances.
Student Organization Finance Center Management
- Serve as the leader in managing the day-to-day operations of the Student Organization Finance Center, its programs, services, and staff for the Department of Student Engagement.
- Provide oversight for the application and interpretation of the University of Illinois System, the University of Illinois Urbana-Champaign, the Division of Student Affairs, and the Department of Student Engagement financial policies and procedures related to student organization (9G custodial) funds.
- Develop and evaluate Student Organization Finance Center policies and procedures to enhance effective processes for student organizations and campus partners. This includes informing and consulting with unit staff and university partners on student org finance procedures and interpretation of the applicable policies.
- Coordinates Student Org Purchase Request process, which includes but is not limited to delegating aspects to staff for assessment, serving as a secondary approver for amounts above the department-established threshold, and preparing and reconciling complex reports (monthly evaluations).
- Supervise all Student Organization Finance Center professional staff, including but not limited to training and development. Current staff includes the Accounting Assistant and Office Support Associate, which may increase as additional staff are hired.
- Coordinate position description development, recruitment, interview, and selection process for new staff. In addition, coordinate internal promotions/job reclassification for SOFC professional staff.
- Provide co-supervision to student staff assigned to the Student Organization Finance Center, including but not limited to training and development of relative tasks and processes.
Student Organization Finance Center University Liaison
- Serve as the primary point of contact for the University of Illinois System and the University of Illinois Urbana-Champaign finance or adjacent departments and units, including but not limited to University Accounting & Financial Reporting, University Bursar, University Payables, Card Services, Student Affairs Budget & Finance for student organization financial processes.
- Develop, facilitate, and evaluate workshops for university partners who interact and play a role in the Student Organization Purchase Request process.
Student Engagement Administration
- Assist with the implementation and coordination of university-wide student organization engagement initiatives, e.g. Quad Day, Student Org Expo.
- Perform other duties as assigned (including service on campus committees) to advance the unit, department, and division.
Minimum Qualifications
Education:
- Bachelor's degree in business administration, management, or a field related to the position.
Experience:
- Two (2) years of professional business, financial, and/or managerial work experience.
Appointment Information
This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 5/4/2026. The budgeted salary range for the position is $63,000 to $70,000.
