The Magelli Office of Experiential Learning at the University of Illinois’ Gies College of Business supports high-impact, project-based learning opportunities that connect students with real-world business challenges. The office partners with faculty, students, and external organizations to deliver experiential programs that enhance academic learning, professional development, and employer engagement across the College.

The Program Operations & Marketing Coordinator will support the day-to-day and semester-based operations of experiential learning programs, including Action Learning, Gies Global and Illinois Business Consulting (IBC). This position coordinates program logistics, supports students and staff, and assists with basic marketing and communications activities in collaboration with Gies Marketing & Communications to ensure effective program delivery and visibility. Job Summary

Coordinate and deliver core operational components of experiential learning programs within the Gies College of Business. Serve as a central point of coordination for Illinois Business Consulting (IBC), Illinois Consulting Academy (ICA), and related co-curricular initiatives by managing program workflows, timelines, and stakeholder engagement across students, faculty, staff, and external partners. The Program Coordinator exercises independent judgment to prioritize tasks, resolve issues, and ensure alignment with program objectives. The role supports the successful delivery, visibility, and continuous improvement of project-based learning experiences while maintaining consistency with college and university policies.

Duties & Responsibilities

  • Program Coordination:
    • Facilitate effective delivery of experiential learning programs through cross-stakeholder coordination and oversight of program operations, including:
    • Coordinating program delivery across student leadership teams, faculty, professional staff, and external partners to ensure alignment with program goals and timelines.
    • Maintaining and overseeing program workflows and timelines using Asana or comparable project management tools; identifying risks, dependencies, and adjustments needed to support successful program delivery.
    • Coordinating logistical components of program activities and events, including space reservations, catering, travel, and related arrangements.
    Coordinating program documentation, contracts, NDAs, and student compliance requirements in accordance with university and program policies.
    • Serving as a point of contact for faculty, students, and partners to support timely completion of program deliverables and address operational questions.
    • Supporting delivery of experiential learning events such as workshops, client meetings, and program celebrations.
    • Contributing to ongoing refinement of program processes and operational playbooks to improve consistency, scalability, and student experience across experiential learning programs.
  • Program Communications:
    • Support program communications and visibility efforts to promote experiential learning initiatives and maintain alignment with Gies College branding:
    • Coordinating with Gies Marketing & Communications to align program timelines, messaging, and asset delivery.
    • Coordinating program digital presence and social media activity using pre-approved content and established guidelines.
    • Performing light content updates and edits to program materials using Canva or comparable tools.
    • Supporting newsletters, mailing lists, and communication campaigns through Webtools or other university systems.
    • Ensuring consistency of messaging, tone, and branding across program materials and digital communications.

Specialty Factors

o Bachelor’s degree.
o A total of three (3) years (36 months) in education, training, and/or work experience in supporting faculty and students in an academic setting. (Note: Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)
o Demonstrated experience enforcing program or institutional policies and managing challenging interactions with students or stakeholders in a professional manner.

Preferred Qualifications

Experience developing or executing digital communications, online marketing, or email campaigns using tools such as Mailchimp, or equivalent platforms.
Experience managing projects using project management or workflow tools (such as Asana, Trello, Monday.com, or equivalent platforms).
Previous experience organizing events and professional communications
Previous experience with University Contracts system, Webtools, and other UIUC software or applications.
Ability to work independently and as part of a team to execute tasks in a timely manner in a fast-paced professional environment.
Strong interpersonal communication skills and professional writing, commitment to excellent customer service, and effective communication to internal and external audiences.
Ability to collect and analyze data.
Proficiency with Microsoft Office and other programs (such as Qualtrics or Salesforce).
Ability to exercise sound judgment and maintain professionalism when setting boundaries or addressing difficult student situations.

Appointment Information

This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after posting close date 3/13/2026. The budgeted salary range for the position is $52,000 to $56,000 annually.
