Assistant to the Executive Director of Public Safety

Division of Public Safety

The University is seeking a highly organized, proactive, and trusted professional to serve as Assistant to the Executive Director for Public Safety. This role supports the strategic, administrative, and operational activities of the Executive Director and command staff, helping to advance initiatives that promote the safety and well‑being of our campus community.

Duties & Responsibilities:

  • Provide administrative and organizational support to the Executive Director and Command Staff. Manage calendars to coordinate meetings and agendas. Prepare material for the Executive Director of Public Safety, Deputy Chief, and Chief Administrative Officer in advance of meetings to ensure preparedness and efficient use of time.
  • Responsible for arranging and attending Direct Report and Police Organization meetings with the Executive Director of Public Safety. Development of meeting agendas, and detailed minutes of all salient actions for implementation by the division. Maintains an overview of departmental responsibilities and deadlines sending reminders as needed.
  • Monitor and respond to email correspondence addressed to the Executive Director of Public Safety and Deputy Chief as necessary, ensuring timely and appropriate communication. Manage confidential information.
  • Manage the Citizen Complaint System and Internal Investigations System for the division prior to 2025. Create correspondence for all Internal Investigations and Discipline.
  • Oversee the planning and execution of all departmental special events, including but not limited to Annual Awards Ceremonies and Retirement Receptions.
  • Draft comprehensive responses/reports related to requests for data and other summative materials for review by the Executive Director of Public Safety, Executive Director of Emergency Management, Deputy Chief and Chief Administrative Officer. Distribute information as directed.
  • Review, comprehend, and assimilate information received via written correspondence, reports, email, and telephone to coordinate information for the Executive Director, Deputy Chief and Chief Administrative Officer. Due to the complexity and volume of ongoing issues handled by the Division of Public Safety, careful attention to status and resolution of issues is essential. Maintain a spreadsheet with the status of all assignments given as well as completed (Task List).
  • Compose highly sensitive material regarding internal matters pertaining to FOIA, light duty, internal investigations, citizen complaints and disciplinary action. Complete final copy of correspondence and distribute as needed.
  • Arrange travel and itineraries for the Executive Director of Public Safety and the Command Staff. Ensure required pre-approvals for travel are requested and received in a timely fashion. Process reimbursement of expenses in accordance with university policy.
  • Maintain and manage electronic personnel files for all departmental staff, ensuring records are accurate, up-to-date, and securely stored in accordance with confidentiality standards with applicable policies and regulations.
  • Other duties as assigned.

Minimum Qualifications:

  • High school graduation or equivalent
  • Any one or any combination totaling five (5) years (60 months) from the following categories:
    • college course work in business, finance, accounting or a related field:
      • 60 semester hours or an Associate's degree equals one (1) year (12 months)
      • 90 semester hours equals two (2) years (24 months)
      • 120 semester hours or a Bachelor's degree equals three (3) years (36 months)
      • Master's degree or higher equals four (4) years (48 months)
    • progressively more responsible general or specialized office experience which included aspects of supervising staff or a job function, organizing, and performing duties that lead to knowledge of generally accepted office principles

Preferred Qualifications:

  • Demonstrated experience working in law enforcement, emergency services, intelligence analysis, or related field.

Knowledge, Skills and Abilities:

  • Strong communication and interpersonal skills.
  • Ability to establish and maintain constructive and cooperative working relationships with others.
  • Ability to gather, analyze, and present data for briefings, board meetings, or operational reports.
  • Ability to act with discretion and make sound, independent decisions.
  • Ability to coordinate agendas, logistics, and follow-up actions.

Appointment Information

This is a 100% full-time Civil Service 0058 - Administrative Aide position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. The budgeted salary range for this position is $70,000.00 - $75,000.00. Salary is commensurate with qualifications and experience.
