Accountant I - Finance - Gies College of Business

The Department of Finance at the University of Illinois’ Gies College of Business seeks an Account I to join the staff. The Accountant I position assists in the management of financial operations in the Department of Finance.

Job Summary

The Accountant I position will manage the departmental accounts, providing reconciliation, reporting, department purchases, and deposit processing.

Duties & Responsibilities

  • Collaborate with the Assistant Director to advise on management of accounts, account usage, and provide
    various financial reports to faculty. Perform monthly reconciliation of accounts.
  • Track commitments for the department noting how that will affect availability of funding when advising
    faculty, and process JVs as needed.
  • Collaborate with faculty, Center Directors, and administration to review financial statements, clear
    deficits, provide financial forecasts and reports, and inform decisions of the department.
  • Prepare and process various University business documents, including payments to vendors and
    reimbursements of allowable expenditures incurred by faculty, staff and students in the Department and by
    non-visitors to the Department.
  • Act as a liaison with University administrative offices such as the Office of Business and Financial Services,
    University of Illinois Foundation, and University Accounting & Financial Reporting.
  • Recommend and implement new procedures to optimize efficiency of departmental financial processes.
  • Assist in managing endowment and current use gift funds budgets and expenses, including scholarship,
    fellowship, and professorship funds.
  • Coordinate department labor distribution processing for accuracy and allowability.
  • Manage and process transactions in various accounting systems to charge out self-supporting department
    activities, correct erroneous transactions, clear deficits, and maintain accurate, timely financial records.
  • Serve as backup for department purchases utilizing various mechanisms (Banner, iBuy, P/T card)
  • Create and maintain spreadsheets of financial information for department to track expenditures. Track and
    report discretionary spending by faculty.
    Assist with biennial inventory process.
  • Serve as Department’s Cash Manager, depositing checks and cash annually. Includes documenting and
    processing deposits and gifts to the department.
    Manage document retention and record keeping for all departmental funds according to OBFS requirements
    and RIMS retention schedule.
    Respond to requests for audit information and documentation. Assume additional related duties to further
    the mission of the department.

  • Minimum Qualifications

    Any one or any combination of the following, totaling three (3) years (36 months) from the categories below:
    A. Work experience and/or training in Accounting or a closely related field
    B. College course work and/or training in Accounting or a closely related field (including 12 semester hours in accounting)
    30 semester hours equals one (1) year (12 months)
    Associate’s Degree (60 semester hours) equals eighteen months (18 months)
    90 semester hours equals two (2) years (24 months)
    Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)

    Preferred Qualifications

    Experience with Web Intelligence reporting, My-UI-Financials, and RIMS retention schedules.

    Appointment Information

    This is a 100% full-time Civil Service 0010 - Accountant I position, appointed on a 12-month basis. The expected start date is as soon as possible after the search close date. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity. The budgeted salary range for the position is $45,000 to $50,000.

    Employees hired into this position will be expected to work on-site at the University of Illinois Urbana-Champaign campus on a full-time basis (37.5 hours/week), 8:30 am - 5:00 pm, Monday - Friday.
