Job Summary

Manage the facility operations of the Coordinated Science Laboratory (CSL) and advise the Director, Associate Director for Administration and Director of Business Operations on issues relating to inventory control, safety, remodeling, shipping/receiving and the CSL building, CSL Studio (North Campus Parking Deck), Tech Fab IV (CSL High Bay) and coordinating space with the College of ACES for collaborative use of the Stock Pavilion.

Duties & Responsibilities

FACILITIES/SAFETY

  • Plan and coordinate maintenance work and renovations performed by Facilities & Services (F&S) staff or outside contractors. Receive and evaluate requests for maintenance work from faculty, staff, and students and submit work requests to F&S via their website or telephone. Monitor the work/repair progress, and coordinate with F&S staff as needed to ensure a timely resolution/completion. Plan routine maintenance as needed on various systems and equipment.
  • Propose, plan, initiate and oversee remodeling projects and new construction. Receive and evaluate requests for remodeling projects from faculty, staff, and students. Oversee scope of work, scheduling and budget in coordination with F&S, CSL and The Grainger College of Engineering
  • Serve as the Safety Officer for CSL, perform annual walk-through of all CSL, CSL Studio and Tech Fab IV (CSL High Bay), conduct annual and quarterly inspections of CSL, CSL Studio, CSL High Bay and CSL labs in the Stock Pavilion and provide reports to the Associate Director for Administration including recommendations. Travel to off-site locations as necessary. Identify and remedy all safety infractions in the fastest time possible. Follow provisions for safety of University property and for protection against fire and persons and property. Report any critical safety issues to the Associate Director for Administration and in her absence, to the Director or the Director of Business Operations on an immediate basis
  • Responsible for reviewing F&S billing both for projects and for regular F&S service billings. Discusses discrepancies with F&S and CSL management. Uses billing information to determine feasibility of continuing F&S daily BSW service standards • Create, implement and maintain Building Emergency Action Plans (BEAP) for CSL and CSL Studio in conjunction with campus police. Maintain accurate occupancy data using the my.csl portal

SPACE

  • Responsible for planning and coordinating the use of CSL, the CSL Studio, and CSL High Bay. Monitoring division of space between office use, laboratory and maintaining allocations to research groups.
  • Prepare reports as needed regarding operation and use of CSL space for CSL leadership and The Grainger College of Engineering.
  • Oversee use of conference rooms and assist requesters with arrangements for seminars, conferences, meetings, and banquets. Plan, coordinate, and direct custodial, facility, grounds, and event and catering activities; must interact with other University departments and staff, as well as various caterers and vendors.

INVENTORY/RECEIVING

  • Maintain inventory records for CSL and ITI in FABWEB and record in internal my.csl portal. Including adding new equipment, updating/removing inventory records in FABWEB. Manage the surplus/salvaging of equipment to campus warehouse.
  • Responsible for overseeing shipping and receiving of all supplies and equipment for the Laboratory, including the Information Trust Institute, TEC, HCESC and any other units housed in CSL. Direct staff in proper receiving policies to ensure compliance and audit control. Report problems and issues to the Associate Director or the Director of Business Operations.
  • Manage CSL and ITI biennial inventory audit by locating, recording and updating records into the campus FABWEB system.
  • Oversee inventory of building keys and distribute keys to building occupants. Responsible for granting Icard access for the Andover security system; work closely with Engineering Tech at F&S on door schedules, open/close schedules, and special circumstances.

Supervise 2-4 undergraduate students per semester; train, establish semester work schedules, and plan daily job duties.

Perform other related duties as assigned.


Travel Requirements

5% Travel to off-site locations as necessary.

Minimum Qualifications

1. High School Diploma or equivalent.

2. Any one or combination totaling three (3) years (36 months) from the categories below:
A. College course work in facility management, operations management, or a closely related field, as measured by the following conversion table or its proportional equivalent:
i. 60 semester hours or an Associate’s Degree equals one (1) year (12 months)
B. Training from a vocational, technical, or an armed forces program which includes building operations such as coordination of building maintenance, construction management, hospitality, or closely related experience.
C. Work experience which includes building operations such as coordination of building maintenance and work orders, construction management, hospitality, or closely related experience.

3. One (1) year (12 months) of supervisory or administrative experience which includes building operations such as coordination of building maintenance and work orders, construction management, hospitality, or closely related experience

Knowledge, Skills and Abilities

  • Working knowledge of facility related issues; a working knowledge of safety guidelines and procedures in a major research laboratory; ability to coordinate multiple tasks and responsibilities while working independently; and excellent communications skills including demonstrated ability to work well with faculty, graduate students, support staff, and people outside the University. Knowledge of project management and budget preparation and control. Ability to travel to off-site locations as necessary.

Appointment Information

This is a 100% full-time Civil Service 2378 - Facility Operations Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after 2/23/2026. Salary range for this position is $60,000 - $65,000.
