Job Summary

The Program Coordinator works with the Project Operations Manager to provide oversight and ongoing support for the daily activities of the Illinois Institute for Rehabilitation and Employment Research and provides support to the directors and project staff. The Program Coordinator will coordinate project activities, provide administrative support, and perform other duties as assigned.

Duties & Responsibilities

Project Coordination

• Manage and overseeing day-to-day activities, functions, and operational logistics related to the Institute’s daily operation.

• Develops systematic approach and maintains efficient and effective daily workflow related to meeting project goals.

• Serves as a resource person and creates links and acts a liaison with governmental agencies and other campus and community groups.

• Work closely with Institute leadership and staff to both follow and drive progress towards ensuring specific project milestones are met and that staff efforts are utilized as efficiently as possible.

• Provide support to Institute staff and project directors in developing and producing research and project specific materials (e.g. manuals, briefs, webcasts, and other resources).

• Provide support to Institute staff and directors with the dissemination of research materials (print & digital), training and other related products developed through the work of the Institute.

• Responsible for submission of research reports (daily, quarterly, or annually) to the program directors and/or funding agent as assigned.

Administrative Support

• Assists with all travel arrangements, conference registration, and events. Responsible for timely submission of T-card and P-Card expense reports.

• Coordinates logistical arrangements relating to conferences and meetings and prepares necessary materials and travel for the designated member(s) of the unit staff.

• Maintains records of unit fiscal transactions involving a variety of accounts and provides advice regarding the appropriateness of requested expenditures.

• Attends meetings as a delegate for the designated member(s) of the unit staff when requested.

• Researches as requested and reports information which requires the evaluation of sources or the application of regulations and procedures to specific cases.

• Anticipates and responds to the detailed office support needs of the designated member(s) of the unit staff

Other duties as assigned


Additional Physical Demands

This position does require travel within the State of Illinois.

Minimum Qualifications

• Bachelor’s degree

• A total of one (1) year (12 months) in education, training and/or work experience in project coordination, administrative operations and/or related organizational support. (Note: Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)

Preferred Qualifications

• Experience maintaining websites and digital platforms.

• Experience managing multiple tasks with varying timelines.

• Expertise with standard office technology (Microsoft Office Suite).

• Working knowledge of the university systems and policies including travel reimbursement

• (ChromeRiver), and ordering supplies.

• Excellent communication skills

• Interest and ability to work independently and as part of a team

• Strong interpersonal relationship skills, including the ability to interact effectively with team members and university staff.

• Attention to detail, adaptability, and dependability.

• In state travel is required for this full-time (12 month) position

Appointment Information

This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. The budgeted salary range for the position is $55,000 to $65,000. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity.
