Job Summary

Within the Department of Chemical and Biomolecular Engineering (ChBE), manage the department's Undergraduate degree program. This role includes areas of administration, student services, recruiting, and admissions.

Duties & Responsibilities

  • Program Administration:
    • Administer the department's Undergraduate (UG) program including implementation of department and campus policies and procedures and manage the student handbook.
    • Serve as the primary point of contact and assist the Director of Undergraduate Studies (DUS) and department administration on all aspects of the UG program.
    • Complete all program administrative requirements including degree certifications/revisions and audits, including ABET accreditation and course preparation.
    • Assist and coordinate the department’s teaching schedule with department administration.
    • Maintain student records and provide reports, analyses, data, and information on all aspects of UG program.
    • Coordinate department’s convocation ceremonies, conferences, and workshops for UG program.
    • Assist with and process department UG awards and scholarships.
    • Represent departmental office and undergraduate affairs on cross-campus committees as needed.
    • Assist faculty and labs with purchasing, travel arrangements and reimbursements.
    • Assist with department tutor and classroom assistants (CA) hiring, coordination, and feedback.
    • Complete other assignments as requested.
  • Student Services and other Duties:
    • Serve as main point of contact for incoming and current students for program.
    • Coordinate with the SCS Advising office to ensure petitions are processed and student academic needs are addressed.
    • Complete all planning and coordination of UG student events and advise on budget preparation and activities for student RSOs.
  • Program Admissions and Recruiting:
    • Work with the DUS and department on the UG program admissions process and implement program priorities and goals and coordinate marketing and recruiting activities for prospective students.
    • Provide the necessary reports and data in order for admission decisions to be made.
    • Work with SCS Advising and serve as the department’s point of contact with prospective students.

Required Qualifications

  1. Bachelor’s degree.
  2. A total of one (1) year (12 months) in education, training and/or work experience in the Higher education in a university setting. Demonstrated experience in undergraduate programming. Student advising experience. (Note: Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.
  3. Based on position requirements, additional education, training, and/or work experience in the area of specialization inherent to the position, may be required.

Preferred Qualifications

  1. Two (2) years of professional business, financial and/or managerial work experience.
  2. One (1) year of administrative experience in higher education.
  3. One (1) year of experience working in an undergraduate program.
  4. Experience coordinating and hosting large (50+) events.
  5. Experience in higher education and student services.
  6. One years of experience advising and working with students directly
  7. One years of experience providing student support in a private, public, or academic environment.
  8. Experience working independently, and as part of a team, while meeting multiple deadlines.
  9. Proven track record of customer services with emphasis on interactions with faculty and graduate students and must be results-oriented with strong organizational and time management skills.

  • Ability to provide solutions quickly by looking up information, coordinating with departments, or using office tools to resolve an issue.

  • Ability to maintain a calm tone by staying polite and composed even with frustrated customers.
  • Ability to respecting confidentiality by handling customer data securely and discreetly.

Appointment Information

This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. The budgeted salary range for the position is $55,000 - $75,000.The pay offered to the selected candidate will be determined based on factors including (but not limited to) the experience and qualifications of the selected candidate including equivalent years in rank, training, and field or discipline; internal equity; and external market pay for comparable jobs.

Hybrid work options may be available for this position after an initial on-site training period, with the ability to be on-site at the University of Illinois Urbana Champaign campus as needed per the University’s workplace flexibility policy.
