Office Manager, College of Fine & Applied Arts


Job Summary

Responsible for the overall administrative support of all activities under the purview of the Associate Director of Arts Impact Assessment and the Associate Dean for Undergraduate Academic Affairs.

Duties & Responsibilities

FAA research initiatives for the Associate Director of Arts Impact Assessment

  • Assist in planning and organizing special projects and programs to include budgeting, logistics, and travel arrangements for presenters.
  • Database management support.
  • Coordinate the calendar of the Associate Director of Arts Impact Assessment.

FAA Admissions and Recruitment

  • Manage large mailings.
  • Bag preparation, and contact information management.
  • Assist with event programming, including summer programs

FAA International Education

  • Manage regular study abroad student communications (application & scholarship reminders).
  • Facilitate the processing of student billing, along with coordinated billing with IAGE & TBH.
  • Facilitate the selection, notification, and processing of study abroad scholarships.
  • Order items and supplies; manage international purchase orders and vendor establishment, process honorariums, and support p-card and t-card reconciliations.
  • Support incoming exchange student and outbound student recruitment efforts, including application processing

Administrative

  • Provide scheduling and calendar support for multiple Associate Deans
  • Provide administrative support to the Associate Deans, alongside the Assistant to the Dean, to support special projects, initiatives, and events in support of the college’s strategic plan and other initiatives as assigned.
  • Coordinate logistics of and process business transactions for special events, travel arrangements, and meals.

Office of Undergraduate Affairs

  • General support including managing phones and emails, engaging with faculty, staff and student visitors.

Other duties as assigned (Campus trainings, project management, etc...)

Minimum Qualifications

  • High school diploma or equivalent.
  • Two years (24 months) of work experience comparable to the level of Office Support Specialist.

Knowledge, Skills and Abilities

  • Strong communication skills, this includes the ability to interact with a diverse body of staff, students, faculty, parents, and the public in a professional and positive manner.
  • Demonstrated ability to work collaboratively with others and assist with the facilitation of various projects.
  • Ability to show initiative, attention to detail, and resolve complex problems that arise.
  • Knowledge of campus and university offices that support all aspects of student and academic affairs
  • Knowledge of the College of Fine + Applied Arts academic structure, degree requirements, and support-related resources.
  • Knowledge of UGrad Recs, BANNER, U.Achieve/DARS, TDS/My Study Abroad and other student records databases
  • Knowledge of Microsoft Office programs.
  • Knowledge of the Family Educational Rights & Privacy ACT (FERPA) and the responsibilities of handling sensitive and/or confidential data.
  • Strong organizational and communication skills that accommodate daily interactions with a variety of personalities and management styles.

Appointment Information

This is a 100% full-time Civil Service 3266 - Office Manager position, appointed on a 12-month basis. The expected start date is as soon as possible after 12/1/2025. The collective bargaining agreement sets a wage of $24.09/hr (46,975.50).
