Job Summary
The College of Law welcomes applicants to join our team. Our team works with the College faculty and administration to support the management of sponsored research projects funded by various grant agencies and other funding sources. The primary job functions of the office administrator include pre-award and post award grant administration, contracts, compliance and assisting with facility operations. The office administrator will work in a collaborative team environment and will support the Sr. Director of Finance and Human Resources and Executive Assistant Dean of Administration. This position reports to the Dean's Administrative Assistant.Duties & Responsibilities
- Pre-Award: Support faculty on research proposal preparation for the school, including internal routing of applications, interpretation of sponsor guidelines, and development of electronic proposals. Use independent judgment to identify, review, understand, and interpret sponsor guidelines, ensuring all requirements are met, such as deadlines, funding restrictions, eligibility restrictions, potential cost share, general compliance, and other requirements for valid submissions.
- Post Award: Work with SPA to ensure funded project accounts are established in a timely manner, request and monitor anticipation accounts when necessary. Complete sponsored project semiannual confirmations, close-out reviews and work with SPA to close completed project accounts in a timely manner. Prepare and record Banner journal entries, as appropriate, including those for month-and year-end close activities, rogue CFOP and other error corrections and necessary entries. Monitor budgets, account balances, and expenditures, make transfers when necessary. Prepare financial reports and analyses to support faculty with the administration and development of their sponsored research projects, verify correct rates are being used in budget development, suggest budget revisions as needed, implement new indirect cost rates, and fringe benefit rates, and accurately interpret sponsor guidelines to ensure proposal compliance.
- Compliance and Project Coordination: Assist with special projects, including the Title II – Digital Accessibility Project; the ABA Self-Study & Site Evaluation Visit (2026-27 and 2027-28); the Academic Program Review (2028-29); and help execute high-level facilities projects such as the Recommissioning Project (HVAC), roof project, restroom renovation project, and new building project.
- Facilities & Operations: Support ongoing facility management and operations ◦ Monitoring the “Facilities” email account - receives and responds to items as appropriate; this may require interpretation, explanation, or defense of unit policies, guidelines ◦ Enter and track work orders ◦ Fulfill assigned roles in FabWeb and the Unit Biennial Inventory ◦ Facilitate the Annual Space Survey
- Office Support Support the Executive Assistant Dean of Administration and Sr. Director of Finance and Human Resources to further the mission of the College.
Review, authorize, and monitor fiscal transactions and keeps Principal Investigators, Executive Assistant Dean of Administration and Sr. Director of Finance and Human Resources informed of overall financial position of facility projects, and grant administration

High school diploma or equivalent.
Any one of the following from the categories below:
Four (4) years (48 months) of work experience comparable to the third level of this series.
Two (2) years (24 months) of work experience comparable to the fourth level of this series.
Appointment Information
This is a 100% full-time Civil Service 3253 - Office Administrator position, appointed on a 12-month basis. The expected start date is as soon as possible after 11/10/2025. The budgeted salary range for the position is $42,564.60 to $52,690.20. Salary is commensurate with experience. Sponsorship for work authorization is not available for this position.
