The University of Illinois Urbana-Champaign is accepting applications for an Assistant Registrar in the Office of the Registrar. The Assistant Registrar will provide management to the Registration Services and Transcripts units in the Office of the Registrar. This position will manage the daily activities associated with the maintenance of permanent student academic records. The Assistant Registrar will coordinate all tasks related to residency petition processing and concurrent/intercampus/BTAA registration. The Assistant Registrar will also assist with all tasks related to tuition and fee assessment for enrolled students.
Duties & Responsibilities
Residency Administration
• Review and decide on Petitions for Determination of Residency Status.
• Coordinate temporary residency changes for veterans, employees and dependents.
Registration Services
• Coordinate intercampus and concurrent registration with other University campuses. Create and update records related to this population of students.
• Coordinate Big Ten Academic Alliance (BTAA) registration with BTAA Coordinators and students.
• Assign and support registration time tickets according to campus policies.
• Verify and monitor non-standard course setup information in the student information system according to campus policies.
• Assist with the process of updating student attributes for situations such as study abroad, off campus programs and in absentia.
• Facilitate collaboration and coordination with department and College staff involved in registration related student records processes.
Tuition and Fee Administration
• Assist the Associate Registrar to manage, update and test official tuition and fee data for the Illinois Cost site, Registrar’s website and Banner each semester.
• Perform office website updates.
Leadership and Management
• Supervise full-time employees in the Registration Services and Transcripts units. Complete annual employee evaluations.
• Oversee the ordering of all transcripts, enrollment, and degree verification for students and alumni for the University.
• Assist the Associate Registrar with COAR meetings and training on related processes as required.
• Test registration, tuition & fee and transcript processes and related reports for Banner upgrades.
• Participate in projects to improve the overall operation and efficiency of activities related to these units and complete other duties as assigned.
• Serve as official notary for the Registrar’s Office.
Required Qualifications
• Bachelor’s degree in business, communication, education, humanities, public relations, social sciences, or a field related to the position.
• Two (2) years (24 months) of professional work experience in admissions, records, registration, and/or closely related experience within an educational setting. (NOTE: A Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)
• Demonstrated experience in data or records management within relational databases in higher education.
• Demonstrated experience reviewing and/or deciding on Petitions for Determination of Residency Status.
Preferred Qualifications
• Master's degree
• Demonstrated experience supervising, training, and/or evaluating full-time staff in a team environment.
• Demonstrated success in change and project management.
• Experience working with course registration, transcripts, and enrollment verifications in a higher education setting.
• Experience working with student systems and familiarity with Banner.
• Illinois Notary Public Commission
Knowledge, Skills and Abilities
• Demonstrated ability to develop and execute detailed processes and procedures.
• Demonstrated ability for numerical analysis and extremely high attention to detail.
• Excellent analytical writing, organizational, communication, and interpersonal skills.
• Demonstrated ability to effectively interact with diverse populations, including students, faculty, staff, alumni, and administrators.
• Knowledge of FERPA regulations.
Appointment Information
This is a 100% full-time Civil Service 2753 - Admissions and Records Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. The budgeted salary for this position is $55,000-$65,000 annually. We strive to provide a competitive salary, considering factors such as available market data, internal equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. The final salary offer will be determined through a thorough assessment of these elements. Sponsorship for work authorization is not available for this position.
