Job Summary

To perform clerical and secretarial duties for the Children and Family Research Center (CFRC).

Duties & Responsibilities

Serves as receptionist for the Children and Family Research Center (CFRC). Screens visitors and telephone calls, determines callers’ needs, ensures messages and requests get to appropriate staff, handles routine inquiries, and makes referrals to other units. Receives, distributes and sends faxes and handles UPS mailings. Acts as contact point for requests for CFRC materials including newsletters, brochures, reports, articles, etc. Ensures that requests for published materials are followed through the process of dissemination. Reviews all e-mails received in the CFRC e-mail account. Responds to routine requests for information. Forwards requests for technical information to the appropriate individuals. Maintains Director’s and Faculty Director’s calendar.

Prepares and processes travel and other miscellaneous reimbursements vouchers via the University’s Emburse Enterprise.
• Reconciles P-Card/T-Card transactions.
• Purchasing for CFRC including I-Buy, I-Stores, and Postal Stores and UPS.

Assists with reservations for the Trade Centre conference rooms. Reports all CFRC Suite maintenance problems to the Business Office and follows-up as needed. Prepares agenda and takes notes for CFRC meetings. Assists with preparations for meetings, forums and conferences. Prepares and packages materials for distribution to participants. Acts as a resource for the Center's Director in the retrieval of Center documents, reports, and existing administrative information.

Types and copies materials as requested by CFRC staff. Materials may include: correspondence, grant proposals, surveys, instruments, manuscripts, reports, directories, special event programs, lists, mailings, forms, notices, and tables. Responsible for reviewing work for correct formatting, sentence structure, grammar, spelling and punctuation. Complex, technical work is reviewed by others for accuracy. • Organizes and manages all surveys for CFRC.

Performs other related duties as assigned.

Minimum Qualifications

High school diploma or equivalent.
Any one or combination totaling eighteen (18) months from the categories below:
College coursework in any curriculum as measured by the following conversion table or its proportional equivalent:
30 semester hours equals one (1) year (12 months)
Associate’s Degree (60 semester hours) equals eighteen months (18 months)
Work experience performing office/clerical activities, including the use of computer systems.

Knowledge, Skills and Abilities

Skilled in typing and formatting correspondence and documents. Ability to use software programs: Microsoft Word, PowerPoint, EXCEL, Outlook. Ability to learn and use the Banner, P-Card, T-Card, and TEM Systems. Ability to learn and use Explorer and/or Netscape, Access, FileMaker Pro. Ability to operate copier, fax, scanner. Ability to complete work within established deadlines. Ability to handle confidential information. Ability to communicate effectively with administrators, faculty, staff and students.

Appointment Information

This is a 100% full-time Civil Service 0846 - Office Support Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the search posting closes. The collective bargaining agreement sets a wage of $19.68/hour ($38,391.66 annually). Sponsorship for work authorization is not available for this position. This position will be expected to work at the University of Illinois Urbana-Champaign campus on a full-time basis per the University’s Workplace Flexibility policy.
