Job Summary
This position supports strategic and operational project management efforts within the Teaching & Learning (T&L) unit at Gies. This role is critical in helping Gies T&L deliver high-quality, scalable, and accessible online programs that meet the evolving needs of learners and faculty. By applying strong project management practices, the APM ensures that our innovations in teaching and learning are delivered on time, on strategy, and with excellence. Using best practices in project management, the APM facilitates planning, monitors progress, communicates with stakeholders, and supports the successful completion of project deliverables. Contributes to cross-functional initiatives aimed at enhancing organizational processes and operations. Collaborates closely with the Associate Director of Project Management and T&L stakeholders to prioritize competing needs, allocate resources, and provide logistical support across subunits.Duties & Responsibilities
Project Infrastructure & Processes
- Develop and maintain documentation and systems to support project management needs.
- Design and refine processes to ensure consistency, efficiency, and scalability.
- Support project tracking through tools like Asana, enhancing visibility and accountability.
Project Execution & Oversight
- Provide leadership over select strategic projects.
- Provide logistical and organizational support across strategic and operational projects.
- Lead planning efforts, including milestone definition, scheduling, and task management.
- Monitor scope, timelines, and quality, ensuring alignment with project objectives.
- Facilitate team collaboration through effective meeting planning and coordination.
Stakeholder Communication
- Gather and monitor project updates and status reports from project teams.
- Communicate project progress to stakeholders and escalate risks or issues as needed.
Post-Project Activities
- Ensure proper project closure and documentation of key metadata and lessons learned.
- Evaluate completed projects to inform continuous improvement of T&L processes.
Strategic Operations Support
- Support T&L-wide planning and prioritization to optimize resource allocation.
- Contribute to the execution of unit-wide strategic initiatives focused on operational excellence.
- Participate in internal planning, process improvement, and committee work as needed.
- Promote a collaborative and inclusive work environment.
Additional Duties
- Represent T&L in college, campus, and external settings.
- Participate in relevant committees and professional development.
- Perform other duties as assigned.
Minimum Qualifications
Bachelor's degree in business administration, management, or a field related to the position.
Two (2) years of professional business, financial, and/or managerial work experience in an education setting.
Demonstrated experience in project management.
Preferred Qualifications
Education: Degree in management, business administration, or a related field
Knowledge, Skills and Abilities
Experience & Skills • Experience managing multi-faceted projects involving cross-functional teams • Proficiency in project management tools, especially Asana • CAPM or PMP certification • Strong organizational, communication, and facilitation skills • Demonstrated ability to analyze problems, evaluate solutions, and implement improvements • Experience supporting strategic planning, resource management, and operations • Familiarity with higher education environments, particularly online programs and faculty collaboration • Ability to work independently, prioritize tasks, and maintain attention to detail
Technical Proficiencies • Synchronous communication tools (e.g., Zoom, Microsoft Teams) • Collaboration platforms (e.g., Box, Google Drive, Microsoft Teams)
Appointment Information
This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after search close date. Salary is competitive and commensurate with qualifications and experience while also considering internal equity. The budgeted salary for this position is $66,000 to $70,000. Sponsorship for work authorization is not available for this position.
Remote and hybrid work options may be available for this position; however, must be available to be onsite at the University of Illinois Urbana-Champaign campus at least twice a year for prescribed events.
