Accountancy

The Department of Accountancy in the Gies College of Business is the unit that serves the accounting profession and the community by providing global leadership in the accountancy discipline.

Job Summary

Assist in the administrative function of the Department of Accountancy as well as oversee the administrative aspects of the Department's Zimmerman Center. This position will also lend support to relevant faculty events and initiatives.

Journal Manager of The International Journal of Accounting (TIJA)

  • Oversee the journal review process by communicating directly with the editor-in-chief, senior editors, editors, editorial review board members, authors, and publisher, by independently composing correspondence.
  • Implement changes to improve journal citations by corresponding with authors, reviewers, and editors.
  • Customize correspondence templates for journal submission, review, and publication process.
  • Collaborate with publisher and guest editors on special issue calls for papers, submission, review, and publication process.
  • Collect and analyze data from reports obtained from the publisher’s Editorial Manager system reports to understand editorial review board member performance statistics and submission statistics.
  • Research reviewers’ and editors’ experience to gather information for enhancing classification search features in the Editorial Manager system and in-house reviewer trace spreadsheet to increase efficient use of editorial review board members’ areas of expertise.
  • Aid editors in designing and implementing changes to increase journal impact factor to attract higher- quality research articles and grow readership.
  • Track and communicate journal activities in a daily report for the managing editor.
  • Assign manuscripts to English editors and coordinate authors’ review and completion of English edits while meeting the publisher’s production deadlines for quarterly publications.
  • Review authors’ final drafts to ensure manuscripts follow the TIJA style guidelines before sending to the publisher for typesetting. Review final proofs from the publisher to ensure style guidelines have been maintained prior to final publication.
  • Compile and distribute quarterly reports to the TIJA editorial board and all parties interested in TIJA.
  • Organize zoom meetings with an international advisory council, along with the chair of the advisory council or managing editor, to ensure continued improvement in quality of the journal publications, submissions, and review process.
  • Manage submission assignments to editors-in-chief, collect feedback on editorial review board members, ensure that editorial review board members are evaluated annually, and follow through with any requested updates to editorial review board membership.
  • Manage organization of manuscript database for generating data requested by advisory council.

Faculty Events and Initiatives

  • Collaborate with the symposium director to coordinate the annual TIJA Symposium, by creating a call for papers, overseeing the review process of accepted manuscripts, communicating event logistics with the international co-host, collecting participant registration information, and creating a program.
  • Coordinate the TIJA reception at the annual European Accounting Association congress.
  • Coordinate logistics and meeting minutes for the TIJA advisory council.

General Administration

  • Initiate related duties for the efficient operation of the Department of Accountancy.
  • Encourage a professional looking environment.
  • Utilize in-depth knowledge to provide front-line information to students, faculty and staff by screening phone calls and walk-in visitors to the Department of Accountancy.
  • Utilize in-depth knowledge to manage routine inquiries, requests, or problems by providing factual information regarding departmental procedures that pertain to various activities and events.
  • Design documents with responsibility for determining format and correcting errors in sentence and paragraph structure, spelling, punctuation, and grammar.
  • Create, update, review, and retrieve files and records with responsibility for maintaining adequate, accurate, and accessible information, which may include confidential materials.

Budgetary

  • Serve in a back-up role to make approved purchases with p-card and t-card in compliance with all rules, regulations, policies, and procedures set by the campus and department.
  • Report expenses for p-card and t-card purchases in the designated application.

Additional Physical Demands

Work is performed in a high-volume office setting with other employees that requires the ability to function while dealing with interruptions and distractions to meet the many day-to-day deadlines.

Minimum Qualifications

1. High school diploma or equivalent.
2. Any one or combination totaling two (2) years (24 months) from the categories below:
A. College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:
30 semester hours equals one (1) year (12 months)
Associate’s Degree (60 semester hours) equals eighteen months (18 months)
90 semester hours equals two (2) years (24 months)
Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)
B. Work experience performing office/clerical activities, including the use of computer systems.
3. One (1) year (12 months) of work experience comparable to the second level of this series.

Knowledge, Skills and Abilities

  • Proficient with Microsoft Word, Excel, and Outlook
  • Proficient with university applications: Box, iBuy, iStore, Chrome River, CIM, UPS Campus Ship, Slate, Banner, UAcheive, my.business.illinois.edu, EMS reservation system, Asana, and PEAR
  • Ability to perform well under pressure and time constraints
  • Ability to maintain productivity and efficiency with a high level of interruption
  • Effective verbal and written communication skills with strong attention to accuracy and detail
  • Excellent organizational and clerical skills
  • Knowledgeable of the University of Illinois, campus, college, and Department of Accountancy procedures and policies
  • Ability to multi-task, prioritize, work independently, and take initiative
  • Solid analytical and investigative skills
  • Ability to use discretion in handling confidential information
  • Ability to interact with students, faculty, and staff within the Department of Accountancy as well as with campus and college staff and administrators.
  • Strong interpersonal skills and the ability to work with a diverse group of people are required.

Appointment Information

This is a 100% full-time Civil Service 3243 - Office Support Specialist position, appointed on a 12-month basis. The expected start date is as soon as possible after the search close date. This is a bargained position and as such, the salary is driven by the collective bargaining agreement. The wage for this position is $41,207.40 annually.

Hybrid work options may be available for this position; however, must be available to be onsite at the University of Illinois campus based on operational needs.
