The University of Illinois Urbana-Champaign is accepting applications for an Events Coordinator at Allerton Park and Retreat Center near Monticello, Illinois. The Events Coordinator is responsible for ensuring that each event held at Allerton Park and Retreat Center is executed flawlessly with attention to the needs of each guest. The Events Coordinator will work with the staff and clients to ensure that event details meet the expectations of the client by overseeing and performing event operations.Duties & Responsibilities
- Assist in planning, coordinating and facilitating logistics for all events.
- Work closely with wedding, conference, and special event guests to ensure that their entire event, including overnight lodging, meals, and event are executed well with attention to detail.
- Assist with coordination of event operations by performing set-up and tear down of equipment to ensure that events on the property are ready when clients arrive.
- Ensure that all details of a client’s event are executed while exercising independent judgement when clients want last-minute changes in room set-up, food, bar, and other event items.
- Assist in customer service / desk operations including answering phones, making hotel reservations, and processing payments.
- Serve as building liaison monitoring the routine upkeep of all Allerton buildings, public areas, dining rooms, and bathrooms.
- Serve as bartender for various event needs.
- Manage Caterease, our online software system, to track upcoming events.
- Other duties as assigned.
Position Qualifications
Required-
- High School graduation or equivalent.
- Any combination totaling two (2) years (24 months) from the following categories:
A.) Professional work experience in event coordination.
B.) College course work in any discipline, as measured by the following conversion table or its proportional equivalent:
60 semester hours equals one (1) year (12 months)
90 semester hours equals two (2) years (24 months)
Preferred-
- Experience in the hospitality/tourism/travel industry
Knowledge, Skills and Abilities-
- Attention to detail as well as strong organizational abilities.
- Fundamental knowledge of the principles and best practices of the sales and event execution processes.
- Computer proficiency with MS Office and Adobe Acrobat.
- Weekend and evening work is required and will average two Saturdays per month.
- Comprehensive knowledge of general event coordination and management.
- Interpersonal skills that reflect courtesy, diplomacy, and a collaborative approach to develop and maintain effective work relationships.
- Ability to handle multiple tasks simultaneously and meet deadlines with accuracy.
- Excellent interpersonal and written communication skills.
Appointment Information
This is a 100% full-time Civil Service 0101 - Events Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. The salary for this position is $41,145. We strive to provide a competitive salary, considering factors such as available market data, internal equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. The final salary offer will be determined through a thorough assessment of these elements. Sponsorship for work authorization is not available for this position.
