Job Summary

This position is responsible for providing support to the Bachelor of Science in Sustainable Design (BSSD) program in the College of Fine and Applied Arts (FAA). The position serves as the primary coordinator for administrative needs of the program. The position works closely with the Director of the Sustainable Design program, and staff in the College of Fine and Applied Arts administration which support the communications, recruitment, yield, and stewardship of the program administration. The position serves as liaison for collaborative projects and communications with partner programs in the School of Architecture, School of Art and Design, Department of Landscape Architecture and Department of Urban and Regional Planning. The position will contribute to the evaluation of the need for and success of program strategies.

Duties & Responsibilities

Administrative Support
• Assist in general administrative planning and resource allocation.
• Research, establish contact, establish terms and prepare contracts for submission.
• Responsible for making small purchases and travel arrangements for BSSD program needs and visitors.
• Maintain knowledge of campus policies and procedures; attend campus meetings or trainings as needed.
• Provide management with reports, analyses, data, and information for administrative purposes; advise on budget preparation as required.
• Work with Temple Buell Hall Business Services Center, FAA Human Resources, and other administrative offices to process programmatic needs.
• Participate in planning and execution of the Annual BSSD Convocation Ceremony.
• Serve as ex. officio member of the BSSD Faculty Advisory committee, to provide necessary support, including retrieving and reviewing student data.
• Work collaboratively with partner units on projects as assigned.
• Participate in staff, committee, and other meetings as assigned.

Communications

• Coordinate with FAA Communications and external providers to develop and execute a growth focused advertising strategy; track metrics and evaluate performance of campaigns and platforms.
• Assist in the implementation of the program’s marketing plan, including developing emails, digital advertising, and web content across owned and paid media platforms.
• Lead the daily management and monitoring of the program’s social media and web-based platforms in conjunction with social media interns.

Undergraduate Recruitment and Outreach

• Support BSSD student recruitment at on- and off-campus events and meetings; lead communications and outreach with admitted students.
• Coordinate departmental orientation and recruitment activities and welcome sessions.
• Assist with coordination of BSSD Ambassadors to support committee communications, funding requests and event execution.

Undergraduate Student Advising
• Serve as an advocate and resource for students in the Bachelor of Science in Sustainable Design (BSSD).
• Assist with advising incoming and current first- and second-year BSSD students on the fulfillment of degree requirements and other academic needs, as assigned.
• Maintain thorough record-keeping of all student contacts.
• Provide support and referrals for students on academic probation.

Other General Duties
• Other duties as assigned.


Additional Physical Demands

Most duties will be performed in a normal office environment however; incumbent will be required to travel to events. Evening and weekend event support will also be required.

Specialty Factors

• Bachelor's degree
• One (1) year (12 months) of education, training, and/or work experience related to program coordination or administrative support (Note: A Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)
• Demonstrated experience processing and/or tracking financial transactions on behalf of a business or other entity.

Preferred Qualifications

• Bachelor’s degree in in Design, Business, Communication, Advertising, or related field.
• Professional or academic experience in Architecture, Landscape Architecture, Urban Planning, Design, Ecology, Environmental Science, Sustainability or other related fields.
• Experience with planning and hosting events.
• Experience developing content for platforms such as blogs, videos, informational graphics, factsheets, public communications and/or advertising campaigns.
• University of Illinois advising experience; experience using Banner and Degree Audit System (or similar) student record systems.
• Experience in higher-education recruitment and advertising.
• Experience planning international travel.
• Familiarity with academic and professional disciplines related to Urban Planning, Architecture, Landscape Architecture, Design, Sustainability, Ecology and/or Environmental Sciences.

Knowledge, Skills and Abilities

• Excellent organizational skills, initiative, and accuracy.
• Ability to work autonomously and possess well-developed interpersonal skills, strong communication skills, and the ability to interact with a broad array of internal and external constituents.
• Ability to use readily available software such as MS office products (i.e. Excel, Outlook, Excel), especially for communications, team coordination, and project management.
• Ability to work with college staff to develop, execute, and adapt recruitment campaigns.
• Ability to manage multiple tasks and priorities.
• Capable of learning and keeping current on all international travel policies, procedures, requirements and restrictions for students, faculty, staff and visitors.
• Capable of developing a good working knowledge of University policies and procedures involving financial transaction reporting and management.
• Capable of developing a working knowledge of academic program requirements and administrative procedures and rules.
• Capable of developing proficiency with web publishing tools and web-based platforms, including websites, blogs, social media services and professional networking platforms.

Appointment Information

This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after the closing date. We strive to provide a competitive salary, considering factors such as available market data, internal equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. The previously determined salary range for this position is $50,000-$55,000 with the final salary offer determined through a thorough assessment of these elements.
