Job Summary

Under general supervision from the Assistant Director of Operations and Facilities, provides specialized support services and converts rooms and laboratory areas for meetings and other special events in scientific research facilities where state of-the-art research equipment is housed. Such facilities might include guest suites, wet laboratories, rooms and laboratories with special fire protection and/or air filtration systems, nuclear magnetic resonance imaging rooms, laser facilities, and/or other specialized research laboratories.

Duties & Responsibilities

  • Collaborates with Special Events Coordinator to ensure events are set-up and supported appropriately. Performs all necessary work involved in the conversion of facilities and setups for events, banquets, symposia, conventions, seminars and dinners including, but not limited to:
    ◦ Placement of tables, chairs, curtains, poster boards, podiums, A/V equipment.
    ◦ Removing existing furnishings when necessary and replacing them in a timely manner following the event.
    ◦ Assists in setting up and operating media communications (in coordination with Computer Networking Resource Group).
    ◦ Coordinates use and set-up of IGB and University resources for IGB events with input from Special Event Coordinator.
    ◦ Coordinates set-up, A/V and tear down coverage for events when the Special Event Coordinator or Audio/Visual Specialist is absent.
  • Visually inspects laboratories and assigned areas daily. ◦ Cleans glass windows and doors in laboratories; ◦ Empties trash cans in laboratories and support rooms; ◦ Dust tops of cubicles and walls at lab entrances; ◦ Visually inspects glass-wash rooms daily. ▪ Promptly reports in writing any suspected equipment malfunctions (ex. water leaking on the floor) or safety concerns to the Director of Operations and Facilities. ◦ Inspect eyewash stations located in laboratories and support rooms and fill out monthly inspection record tag. ◦ Wet mops specific rooms in the Core Facilities following the schedule provided by the Director of Operations and Facilities. ◦ Wet mops glass-wash rooms on weekly basis. ◦ Wet mops laboratory floors on monthly basis. ◦ Other areas as scheduled by Assistant Director of Operations.
  • Transports IGB equipment and/or visitors to and from locations such as airports, hotels, and other Campus locations (including Campus Surplus and off-site storage facilities) for the facilitation of operational needs, scrap/surplus, inventory, storage, and special events. Organizes storage of assets/equipment in designated storage areas.
  • Provide operational support in Café and Receiving as requested.
  • Maintain first aid kits throughout the building. Orders and stocks supplies. Restocks first aid kits on monthly basis and maintains a checklist including the date when kits were last checked. Inspect fire extinguishers on a monthly basis and fill out monthly inspection record tags.
  • Reviews Outlook Events calendar daily for upcoming events. Assists in planning and coordinating the use of IGB rented parking spaces.
  • Reviews email system multiple times daily and respond to messages in a professional and timely manner. Responds to and completes tasks using the IGB ticketing system where indicated.
  • Reports as requested on the operation and use of the conference center.
  • Prepares requisitions or uses University-issued P-Card to purchase supplies, keeps receipts of goods and materials, and assists with maintenance of inventory of university property. Prepares recommendations for improvements of facilities necessary to maintain efficient operation and reports recommendations to the Director of Operations and Facilities.
  • Removes cardboard boxes from various locations in the building and delivers them to the recycling container at the dock.
  • Coordinates daily with daytime BSW regarding tasks that may require assistance from both. Performs other duties as assigned.

Additional Physical Demands

Working Conditions could include engaging in prolonged activity in a specific area, and occasionally lifting and moving objects with a maximum weight of 100 pounds. Work is mostly performed inside the Institute for Genomic Biology, with occasional outside work which could include completing tasks and transporting visitors to and from the institute.

Minimum Qualifications

1. High School Diploma or equivalent.

2. Any one or combination totaling two (2) years (24 months) from the categories below:

A. college course work in facility management, operations management, or a closely related field, as measured by the following conversion table or its proportional equivalent:

  • 60 semester hours or an Associate’s Degree equals one (1) year (12 months)

B. training from a vocational, technical, or an armed forces program which includes building operations such as coordination of building maintenance, construction management, hospitality, or closely related experience.

Preferred Qualifications

Experience working with facilities including wet laboratories, rooms, laboratories with special fire protection and/or air filtration systems, nuclear magnetic resonance imaging rooms, laser facilities, and/or other specialized research laboratories.

Knowledge, Skills and Abilities

  • Ability to comprehend and follow complex technical guidance.
  • Proficiency in basic upkeep and sanitation practices, and the ability to learn specialized techniques.
  • Skilled in using custodial equipment and machinery.
  • Familiarity with lab safety protocols.
  • Digital literacy, including general office software and electronic mail.
  • Must be able to communicate effectively with others.
  • Provide exceptional customer service and cultivate a respectful workplace culture.
  • Must be adaptable to changing priorities.

Appointment Information

This is a 100% full-time Civil Service 2379 - Facility Operations Specialist position, appointed on a 12-month basis. The expected start date is as soon as possible after closing. The salary range for this position is $55,000-$60,000.
