Program Assistant - Title VI Office

The Program Assistant is responsible for coordinating Title VI and Campus Belonging bias response program implementation, including managing case intake and resolution processes, ensuring compliance with institutional policies and legal regulations, and providing data-driven insight. This role requires strong data analysis skills, experience with strategic planning and resource allocation, strong written and oral communication, the ability to work independently, and the ability to ensure operational efficiency within the office.
Duties and Responsibilities
- Implements program priorities for the Title VI and Campus Belonging through the coordination of unit operations and program administration.
- Organize development of training materials and resources for trainings and programs regarding bias response and Title VI processes.
- Support long-term planning and program development initiatives through research and data-driven insights.
- Participate in long-range planning efforts for departmental objectives and strategic initiatives.
- Coordinate logistics for trainings and programs, including ordering materials, arranging catering, and securing event space.
- Review, coordinate, develop content and update the websites of the Title VI and Campus Belonging offices.
- Create and process new cases int the Title VI and Campus Belonging Database.
- Oversee case intake and tracking to ensure compliance with Title VI, bias response, and Campus Belonging policies. Maintain updates on on-going cases to ensure that case files are up to date.
- Serve as the primary contact for case-related inquiries, providing timely updates to involved parties.
- Coordinate additional departmental meetings, respondent meetings, and witness meetings on behalf of the Title VI and Campus Belonging office.
- Facilitate internal departmental meetings for all Title VI staff and Campus Belonging staff.
- Develop and implement best practices for case management, ensuring consistency and efficiency in operations. Ensure proper case closure, reviewing case files to verify completion of all necessary steps before final closure of case files.
- Conduct data analysis to identify case trends, response times, and resolution outcomes.
- Prepare complex reports for administrative and compliance purposes, including trend analyses and insights for process improvements.
- Coordinate the development of dashboards and data visualization tools to track performance metrics and outcome measures.
- Provide data-driven recommendations to improve efficiency, resource allocation, and program effectiveness. Support requests for data from university leadership, compliance agencies, and campus partners.
- Provide day-to-day management support to the Directors and Assistant Director of the Campus Belonging and Title VI Office, as well as intermittent support for other staff Campus Belonging and Title VI as necessary. Manage day-to-day operations of the office, distribute workloads and assign tasks.
- Assist with conference registration, travel planning, and expense reports for Campus Belonging and Title VI Offices as needed.
- Coordinate the purchase of equipment, supplies, travel, etc. through Tcard, Pcard and iBuy. Maintain records/receipts for all the Title VI and Campus Belonging financial transactions. Perform other duties as assigned.
Qualifications
- Bachelor's degree
- Demonstrated experience assisting with confidential processes/situations.
Preferred Qualifications
- One year or more of experience working in a university setting.
- One year or more of experience with conduct, bias, or civil rights case management.
- Experience working with content that falls under the scope of the Title VI of the Civil Rights Act of 1964.

- Skilled in oral and written communication.
- Ability to apply general rules to specific problems to produce answers that make sense.
- Ability to develop goals and plans to prioritize, organize, and accomplish work.
- Ability to work effectively with staff, the public, and outside constituency groups.
- Ability to effectively plan, delegate, and supervise the work of others.
- Ability to work independently and exercise judgement to be able to analyze and investigate a variety of questions or problems.
- Ability to analyze and develop guidelines, procedures and systems.
Appointment Information
This is a 100% full-time Civil Service Program Assistant position, appointed on a 12-month basis. The expected start date is as soon as possible after 5/7/2025. The budgeted annual salary for the position is $40,345.50 to $55,000. Final salary offered will be determined by a thorough assessment of available market data, internal salary equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. Sponsorship for work authorization is not available for this position.
