Fleet Coordinator
Division of Public Safety
The Division of Public Safety is now accepting applications for a Fleet Coordinator to manage the day-to-day operations and coordination of fleet activities for the Division of Public Safety.
Duties & Responsibilities:
- Research, purchase, and install specialized equipment such as sirens, lights, cages, camera systems, etc.
- Develop maintenance and inspection schedules and procedures for each vehicle type.
- Maintain and update a fleet database.
- Schedule service and maintenance appointments.
- Consult with vendors and campus officials concerning the purchase of automotive vehicles, materials, supplies, tools, and equipment. Obtain cost estimates for specialized repairs or modifications of university vehicles.
- Assist with planning, coordinating, and administering the department’s vehicle and specialized equipment replacement program. Maintain associated vehicle and service records. Review lifecycle analysis for vehicle replacement recommendations.
- Prepare budget and analyze purchase and repair costs to control expenditures.
- Collect automotive vehicle data and compiles reports needed for long-range planning of the transportation program.
- Meet regularly with management and/or special units to keep them apprised of the status of the fleet and make changes as dictated by operational need. Analyze equipment usage and make recommendations based on identified needs.
- Coordinate with other university departments such as Claims Management, and Facilities and Services as needed. Make arrangements for leasing vehicles from outside agencies to meet special transportation needs.
- Ensure compliance with fleet maintenance policies and procedures. Audit current maintenance practices and investigate alternative solutions as needed.
- Assists with the determination of personnel needs; allocate and distribute vehicles to assigned staff.
- Assist with the enforcement of employee and user compliance safety rules, regulations, and measures to protect the safety of employees.
- Train new unit members in the processes and tasks of the fleet unit.
- Act as a Campus Security Authority (CSA) as defined by the federal Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act, to include annual training and the timely reporting of allegations of Clery Act crimes.
- Other duties as assigned.
Minimum Qualifications:
- Three (3) years (36 months) of work experience involving the dispatch of vehicles, maintenance of a fleet of vehicles, scheduling of charter trips, or other activities directly related to the operation of an automotive fleet, one (1) year (12 months) of which included supervisory duties in the transportation industry.
- Valid State of Illinois driver’s license for the class of the license depending on the type of vehicle(s) to be operated.
Preferred Qualifications:
- Experience with maintaining and/or utilizing emergency responder vehicles.
- ASE Automotive Technician certification.
Knowledge, Skills and Abilities:
- Ability to analyze data and prepare detailed reports.
- Ability to effectively manage time and prioritize tasks.
- Ability to build positive relationships with people from diverse groups.
- Demonstrate cultural sensitivity through tact and courtesy when dealing with individuals from various social, cultural, racial, and economic backgrounds.
- Ability to work cooperatively as part of a team
- Ability to comprehend and interpret detailed, complex written material.
- Ability to demonstrate effective interpersonal skills.
- Strong written and verbal communication skills.
- Ability to safely drive various types of vehicles including but not limited to cars, trucks, SUV’s, and ATV’s.
Appointment Information:
This is a 100% full-time Civil Service 4662 - Transportation Assistant Manager position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. The budgeted salary range for this position is $60,000.00 - $75,000.00. Salary is commensurate with qualifications and experience.
