Library Specialist - Latin American and Western European Ordering/Cataloging - Language Specialty

FUNCTION: This position is responsible for the management of the Latin American and Western European Blanket Order Plans; receiving and copy cataloging Latin American and Western European books; firm ordering of Latin American and Western European books; and managing Latin American serials, continuations and standing orders.

Reading fluency in Spanish required. (Speaking this language is not a requisite.)

DUTIES AND REPONISBILITIES

Latin American and Western European blanket order management

  • Receives and appropriately processes invoices for all materials for the Latin American and Western European blanket order plans from many vendors.
  • Communicates with vendors for ordering inquiries, shipment tracking, and material resolution.
  • Coordinates with the Latin American faculty librarian, the Electronic Resources Management Librarian and supervisor on ordering, receiving, invoicing, payment, and claiming issues.
  • Selects and routes Latin American novels, short stories and poetry to the Literatures and Languages Library per librarian directed collection development parameters.
  • Maintains spreadsheets to track the receipt and invoice expenditures for the approval plan vendors.
  • Tracks fund balances and communicates with respective vendors regarding fiscal year ordering and shipping deadline reminders.

Performs copy cataloging for Latin American monographs

  • Searches the OCLC database and identifies pertinent bibliographic records for the materials received
  • Performs copy cataloging for Latin American language materials (Spanish and Portuguese)
  • Edits and enhances as necessary existing bibliographic records in OCLC
  • Independently reviews existing bibliographic records and makes the determination to use the record or to designate for original cataloging
  • Verifies call numbers supplied in existing bibliographic records for uniqueness in Alma
  • Performs maintenance and necessary updates to item and holdings records and existing bibliographic records in our catalog

Firm orders Latin American and European monographs plus DVD order requests

  • Orders firm orders for all Latin American monograph requests:

o Utilizes independent decision-making skills for choice of vendor.

o Places Latin American firm order claim and cancel requests with appropriate vendors and independently investigates re-vending options.

o Communicates with Latin American vendors and the faculty selector regarding ordering inquiries.

  • Directs incoming materials to Preservation, when needed.
  • Firm orders assigned DVD firm order requests received through the Media Purchase Request online order form and selector emails.

Latin American serial management

  • Performs complex ordering for serials and standing orders for all Latin American serial requests.
  • Independently verifies title, frequency and format changes for Latin American serials and makes complex adaptations to bibliographic records.
  • Receives Latin American continuations and standing orders; checks in Latin American serials and adds issues received to the item record.
  • Processes cancellation requests for Latin American serials and standing orders and independently verifies ceased titles; makes complex updates to purchase orders, item records, and bibliographic records.

Performs other related unit duties as assigned.

Minimum Qualifications:

· High school diploma or equivalent.

· Any combination totaling two (2) years (24 months) from the following categories:

o work experience in a library or equivalent setting.

o College course work in any field as measured by the following conversion table

§ 30 semester hours equals one (1) year (12 months)

§ Associate’s degree (60 semester hours) equals eighteen months (18 months)

§ 90 semester hours equals two (2) years (24 months)

§ Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)

Reading fluency in Spanish required. (Speaking this language is not a requisite.)

Knowledge, Skills, and Abilities

This position requires:

  • Reading fluency in Latin American and Western European languages.
  • Excellent attention to detail.
  • Strong analytical and problem-solving skills.
  • Strong communication and customer service skills.
  • Experience in academic library cataloging.
  • Ability to manage workflows and establish priorities.
  • Working knowledge of MS Office products, particularly Excel.

Also, the incumbent must engage, understand, and critically apply bibliographic information using the following acquisition and cataloging tools of standards to perform this job:

  • AACR2 and RDA Toolkit
  • OCLC Bibliographic Formats and Standards

Difficulty:

The goals of the Technical Services Division are to ensure the timely access to materials added to the collection and to ensure quality bibliographic control for the Library’s online catalog, Primo. The employee’s complex skills utilized in this position are directly linked to the patron’s ability to discover materials that reflect their content, format, location, and availability.

Excellent independent decision skills are mandatory for this position. Attention to detail, accuracy, and completeness are important in order to provide and maintain accurate bibliographic fields, holding records and item control records and statuses. The ability to interpret information, especially for Latin American materials, and apply concepts from standard tools are both necessary. The ability to manage workflow regarding materials from multiple vendors and maintain quality controls is necessary.

Personal Relationships:

The position requires excellent verbal and writing skills. The employee works within a unit environment having daily contact with Acquisitions Unit members, the material selector, and members of other Technical Services Division Units. Staff interaction includes librarian and peer training. The employee must also have an excellent relationship with various Latin American and Western European vendors.

Environmental Demands:

Physical requirements: Work requires computer keyboarding skills and frequently moving boxes weighing more than 20 lbs. from a book cart to a processing table. There is a requirement to handle a high volume of books and move these books to different locations, per workflow demands.

Work environment: Work is performed in an office setting with minimal risks or discomfort. The ability to work in a sometimes-hectic environment with a medium level of noise in an efficient and quiet manner is required.

Appointment Information

This is a 100% full-time Civil Service Traditional Non-Exempt, Library Specialist position, appointed on a permanent basis. The expected start date is as soon as possible after the close of the search. The budgeted salary for the position is $44,167.50.
