Job Summary

The Coordinator will provide admissions support in a fast-paced, professional, customer-focused and results-driven environment. This role will collaborate with the Assistant Dean for Student Success to support the DVM program in admitting and serving high quality graduate students. The Coordinator will also oversee any Academic and Student Affairs office staff with duties pertaining to admissions.

Duties and Responsibilities

Admissions Organization

o Maintain up-to-date knowledge of the College of Veterinary Medicine and University of Illinois admissions processes.

o Meet with the Assistant Dean for Student Success on a regular basis to discuss admissions procedures and provide information on the current admissions cycle.

o Assist with implementation of admissions marketing and communications plans, including, but not limited to social media, websites, blogs, webinars, and email and calling campaigns.

o Serve as a point of contact and resource for DVM admissions. Counsel and advise prospects as they move through the admissions process including answering questions about the admissions process, alleviating concerns, and assisting with application submission.

o Identify, investigate and troubleshoot barriers to the application process. In conjunction with leadership, develop proposals for new initiatives to help reduce or eliminate such barriers.

o Oversee operational functions including, but not limited to transcript verification, course articulation, processing and notification of admissions decisions.

o Coordinate admissions related activities including first-year DVM orientation, Blue coat ceremony and interviews.

o Compile demographics data at the end of each admissions cycle regarding the entire group of Illinois applicants and those that matriculate into our program that can be used for both internal and external use.

o Monitor and compile trends and challenges in application processes that will help enhance future admissions cycles.

o Delegate duties as needed to office staff involved in admissions. Follow up on and monitor progress of these assignments.

Admissions meetings

o Plan, conduct and/or present at admissions events both in-person and virtually promoting the Doctor of Veterinary Medicine program.

o Schedule requested potential candidate meetings with the Assistant Dean for Student Success.

o Perform informational meetings as requested with potential candidates.

o Take minutes at College Admissions Committee meetings.

Student Ambassador Program

o Assist with management of the Student Ambassadors program.

Other duties as assigned.


Additional Physical Demands

Normal office setting. Persons allergic to animal dander, dust, pollen, hay, etc., may experience discomfort in this position.

Some night and weekend obligations as well as domestic travel for admissions events and professional development may be incorporated into this position.

Minimum Qualifications

1. Bachelor’s degree in business, communication, education, humanities, public relations, social sciences, or a field related to the position.

2. Two (2) years (24 months) of professional work experience in admissions, records, registration, and/or closely related experience within an educational setting.

Preferred Qualifications

1. Bachelor’s degree in science, education, communication, or related fields.
2. Admissions experience which should include, but not be limited to, evaluation of student transcripts and applications, effective oral and written communication, management of student employees
3. Experience working for at least 12 months in admissions of a professional degree program

Knowledge, Skills and Abilities

  • This position requires a great deal of independent decision making, tact, and knowledge of effective communications, and requires scrupulous follow-through and initiative. The following written and unwritten guidelines are utilized by this position: University of Illinois regulations (Campus Administrative Manual, Business and Finance Manual, Student Code of Conduct); College and Departmental Bylaws; other policies and procedures established by the Dean's office, Departments, service units, or administrative offices within the College; General rules of good public relations. Use of judgement and initiative, attention to detail, ability to work under pressure and ability to operate and use personal computers with a variety of software skills as needed. Ability to work with documents of sensitive and confidential nature and ensure confidentiality is mandatory. Ability to balance input and manage expectations from multiple, often divergent constituencies – faculty versus students, students versus parents.

Appointment Information

This is a 100% full-time Civil Service 2753 - Admissions and Records Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 10/7/2024. The budgeted range for this position is $55,000-$62,000. Salary is commensurate with experience.
