The College of Applied Health Sciences is accepting applications for an Office Support Specialist. This position will help with the video accessibility workload and will help out with print material as needed.Major Duties and Responsibilities
Assist with Hourly Workers
Assist in the hiring and training of hourly workers.
Assist with the communication to hourly workers of workflow and of priority captioning needs of the University.
Assist with documentation of process for student workers, both training and new processes;
Assist with submitting timesheets;
Assist with monitoring student worker hours and communicating hourly requirements;
Assist with monitoring Extra Help employees;
Monitor Email
Inform and maintain regular contact with qualified students regarding their responsibilities with closed captioning and audio description to provide them with necessary updates.
Work collaboratively with instructors and assist campus units as required to ensure adherence to federal and state accessibility laws with regards multimedia.
Communicate with AMS colleagues on the status and needs regarding accessible media.
Assist in communicating captioning and Audio description standards to the University at large.
Monitor workflow
Ensure the timely and accurate delivery of multimedia content (videos, podcasts, audio recordings, narrated PowerPoint lectures) in an accessible format:
Download, digitize and convert media;
Create transcripts of videos following rules laid out in the Captioning Key created by DCMP either by hand or using Automatic Speech Recognition programs and then editing for correctness;
Use CaptionMaker to create caption files and export caption files to correct format;
Use CITL’s video server/platform to caption files for departmental requests;
Use various programs to add caption file to media to create finished product;
Assist with creating and editing audio description to media files
Review captioned and audio described material created by other employees of the office;
Research captioning and audio description information about videos that will be used in a class here on campus.
Assist with the research of new technology and programs to make certain that AMS is providing high quality material as quickly as possible;
Spot check hourly employee’s work every pay period for QA;
Maintain accurate records of captioning and audio description projects in progress, work completed and dates that videos to be captioned are received by the AMS captioning services:
Use project management software to keep track of projects. This includes who gave AMS the material, copyright owner, time spent working on video, et cetera.
Maintain departmental billing records for closed captioning and audio description services.
Text conversion
When needed, assists in the production of alternative format materials for University of Illinois Urbana-Champaign students with disabilities.
Other related duties as assigned
Assist with checking assignments and final project of DIY Audio Description course on Canvas; as well as creating and updating course.
Help train and monitor progress of James Scholar students’ projects;
Qualifications
Required: Per SUCSS Class Spec
Preferred: Experience with captioning using SubtitleEdit, Amara or other captioning editing software and Captioning Media Program standards using Express Scribe for controlling video and Caption Maker/Mac Caption for captioning.
Knowledge and experience of Otter.AI /Descript/Whisper or other speech to text software for creating transcripts of videos.
Experience working with MediaSpace and/or Ensemble, specifically editing and uploading caption files to media within the system.
Experience with KMC Kaltura portal for downloading media and caption files through this portal.
Experience Editing captions within YouTube and Amara.org captioning portals.
Experience with reviewing and editing audio descriptions for blind/low vision users.
Experience with using Basecamp Project Management system to monitor and track workflow of projects.
Experience with adding captions to PowerPoint Presentations and creating videos from PowerPoint Presentations.
Experience using Adobe Encore for creating interactive DVD of media programs.
Experience researching vocabulary and key terms for educational settings for a wide variety subject areas, especially STEM/MATH content
Knowledge, Skills, and Abilities
Applicant must be able to remain at a workstation for long periods at a time with headphones or ear buds on to review material.
Extensive knowledge of various word processing programs, such as Word and Excel, Outlook, PowerPoint, and other university software programs and databases.
Able to work with both Mac and PC.
Knowledge of AMS policies and procedures.
Ability to maintain confidentiality is a priority.
Ability to maintain attention to detail and accuracy.
Knowledge of Caption Maker, Basecamp, Audacity, Adobe Encore, MediaSpace, Kaltura KMC Portal, Descript, Camtasia and ExpressScribe.
Ability to transcribe professors' lectures on a wide variety of subjects, especially STEM/MATH content.
Environment
Job is performed in a typical office setting, with frequent interruptions from students and staff, and on occasion, outside visitors. Due to the location (in the basement of the building with a gymnasium located on the floor above), office can become noisy during work hours. This position also shares a workspace with other Office Support Staff as well as numerous student hourly employees. Some movement between offices/buildings required.
Salary and Appointment Information
This is a 100% full-time Civil Service 3243 – Office Support Specialist position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. Salary for this position is set by a collective bargaining agreement and the rate of pay is $20.718/hour. Sponsorship for work authorization is not available for this position.
