Serve as a planning and coordination leader providing executive and operational support to AITS and CIO leadership, with primary responsibility for governance, communication, and planning activities in support of critical and high profile programs and related initiatives. Provide oversight of leadership forums and program governance processes, ensuring effective meeting cadence, preparation of materials, and clear communication of outcomes to support executive decision-making. Lead coordination of alignment and communication across AITS leadership and stakeholder groups to ensure visibility into priorities, activities, and dependencies. Act as a liaison to the University and external partners to represent AITS priorities and advance planning and engagement activities.
DUTIES AND RESPONSIBILITIES
- Provide executive planning and operational support to AITS leadership, including the CIO and Directors, through the development of briefings, presentations, and leadership materials.
- Coordinate leadership and program governance activities (e.g., ITLT, ESGC, ERP governance) by managing meeting cadence, preparing materials, and synthesizing information from multiple stakeholders into clear summaries, reports, and decision-support materials for executive leadership.
- Support coordination of ERP SaaS transition planning activities by ensuring appropriate planning cadence, stakeholder engagement, and alignment across functional and technical workstreams.
- Lead coordination of ongoing communication and alignment across AITS leadership and stakeholder teams, ensuring visibility into cross-team dependencies and activities.
- Serve as a primary point of contact for external inquiries directed to the CIO and AITS leadership, coordinating responses and next steps with appropriate leaders.
- Coordinate AITS participation in external events, conferences, and workgroups, including tracking opportunities and supporting engagement planning.
- Provide oversight and guidance to the AITS Management Group, fostering collaboration, alignment, and active contribution across leadership teams and initiatives.
- Act as a liaison between AITS leadership and the University or external partners, representing AITS priorities and supporting planning and engagement activities.
- Perform other duties as assigned in support of AITS leadership and ERP SaaS Transition program objectives.
Bachelor's degree in business, human resources, organizational studies, communications, IT, or related field.
KNOWLEDGE AND EXPERIENCE1. At least four years of demonstrated experience supporting large, complex initiatives through planning, coordination,analysis, or program support activities.
2. Experience supporting governance structures, leadership forums, or program-level coordination activities.
3. Familiarity with change management concepts.
4. Experience working with external partners or representing organizational priorities in cross-institutional settings.
5. Demonstrated ability to coordinate across multiple stakeholders and functional areas to support alignment and communication.
6. Experience preparing executive-level materials, briefings, and reports to support leadership decision-making.
7. Demonstrated ability to provide guidance and influence outcomes across leadership and peer groups without direct authority.
8. Demonstrated success coordinating complex meetings, events, or engagements involving technical and functional stakeholders.
9. Demonstrated analytical and problem-solving skills, including the ability to analyze complex information and synthesize it into clear, concise materials for presentation.
10. Outstanding interpersonal skills and the ability to develop and maintain effective working relationships with diverse, broad- based constituencies. Understands university organization, governance, and politics (i.e., who has influence in prioritizing work), and is adept at communicating effectively at all levels.
APPOINTMENT INFORMATION
This is a Full Time academic professional position. The expected start date is as soon as possible after the close of the posting. Sponsorship for Work Authorization is not available for this position.
The budgeted salary range for the position is $90,000.00 - 100,000.00. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity.
