The Office of Strategic Initiatives (OSI) at the University of Illinois System is actively engaged in supporting the Illinois Department of Public Health (IDPH) on various initiatives aimed at advancing public health outcomes across the state. The Associate Project Manager will support the execution of a portfolio of public health initiatives in partnership with the Illinois Department of Public Health (IDPH). This is a high-execution hybrid role focused on keeping projects moving, ensuring deliverables are met, and managing multiple concurrent workstreams. The ideal candidate is highly organized, detail-oriented, and comfortable juggling competing priorities in a fast-paced environment. The function of this position is to assist the Office of Strategic Initiatives with public health project management, compliance on contracted services, stakeholder engagement, and process improvement. Must reside within Illinois and be able to travel to Chicago, Champaign, and Springfield, IL for various meetings and project support

DUTIES AND RESPONSIBILITIES

  • Manage day-to-day execution of multiple public health projects across IDPH program areas (e.g., disease control, health promotion, preparedness, data initiatives)
  • Build and maintain project trackers, timelines, and task lists across multiple workstreams
  • Ensure deliverables, milestones, and reporting requirements are met on time
  • Proactively follow up with stakeholders to keep projects moving
  • Facilitate meetings, take meeting minutes for project tracking purposes
  • Identify bottlenecks and escalate risks early
  • Keep projects organized, documented, and on track
  • Track progress across multiple work orders simultaneously
  • Maintain centralized dashboards, trackers, and status updates
  • Coordinate meetings, agendas, and follow-ups among cross-functional teams
  • Ensure consistency in documentation, reporting, and communications
  • Prepare clear, concise status updates and reports for leadership and stakeholders
  • Support data collection and basic analysis for program tracking and evaluation
  • Assist with preparation of presentations, summaries, and briefings
  • Support implementation and use of project management tools
  • Help onboard and coordinate student workers or project contributors
  • Contribute to process improvements that increase team efficiency
  • Perform additional duties as assigned in support of the project scope and team objectives

QUALIFICATIONS

Required:

  • Bachelor's degree in business administration, project management, public health, or related discipline


KNOWLEDGE AND EXPERIENCE

Required:

  • 1+ years of project coordination or project management experience
  • 1+ years of strong relationship management skills
  • Strong organizational skills with ability to manage multiple projects at once
  • Excellent follow-through and attention to detail
  • Strong written and verbal communication skills
  • Ability to work independently and keep work moving with minimum supervision
  • Ability to work well independently as well as a part of a team
  • Ability to work in a hybrid environment
  • Ability to interact and build relationships with stakeholders from multiple levels
  • Ability to create, adjust, and manage processes for new and existing projects
  • Proficient computer skills and advanced knowledge of applicable computer systems. This would include advanced skills in Microsoft Office products such as Word, Excel, PowerPoint, and Outlook

Preferred:

  • Experience working in public health, healthcare, or government environments
  • Familiarity with public health programs (e.g., epidemiology, community health, emergency preparedness)
  • Experience with grant-funded or contract-based work
  • Experience using project management tools (Smartsheet, SharePoint, Planner, Monday.com, etc.)


APPOINTMENT INFORMATION
This is a Full Time academic professional position. The expected start date is 6/16/2026. Sponsorship for Work Authorization is not available for this position.

The budgeted salary range for the position is $52,000.00 - 60,000.00. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity.

This position is intended to be eligible for benefits. This includes Health, Dental, Vision, Life Insurance, a Retirement Plan, Paid time Off, and Tuition waivers for employees and dependents.
