The Department of Materials Science and Engineering (MatSE) at the University of Illinois Urbana-Champaign is seeking candidates for a Graduate Programs Coordinator position to provide administrative support to the graduate program team. The position will be responsible for assisting with recruitment, program coordination, graduate admissions and tracking, and managing other administrative tasks that serve our faculty, graduate students, and staff.
DUTIES AND RESPONSIBILITIES
Recruiting, Marketing and Outreach:
· Create a marketing plan to expand the MatSE professional (non-thesis) MS program.
· Serve as the main contact for MS and MS 3+2 campus and international partners.
· Plan and organize recruiting events for MS students and PhD students.
· Participate in various graduate student recruitment events and manage correspondence to MS recruitment lists in collaboration with campus partners.
Career Assistance/Alumni Relations:
· Create career planning opportunities for PhD and MS students by connecting with industry, academic partners, and on-campus career service organizations.
· Manage graduation/exit surveys and participate in exit interviews with the Department Head.
· Maintain access and/or tracking of post-graduation data available via Illinois Illini Success Survey and MatSE exit survey.
Admissions & Data Tracking:
· Provide administrative support to admission-related tasks and committee meeting participation.
· Assist with data tracking by keeping updated admissions data spreadsheets for report and assessment.
Student Services, Advising, and Other Duties:
· Support the chief advisor for graduate students by meeting with MS and MS 3+2 students, providing advisement on degree/curriculum requirements, and maintaining graduate student records (electronic and paper).
· Assist with coordinating research project experiences for MS students.
· Support and serve as the main point of contact for Graduate Awards/Fellowships committee by managing administrative tasks for internal and external Fellowship and Award submissions.
· Ensure all graduate student listservs are updated each term.
MINIMUM QUALIFICATIONS
· Bachelor’s degree.
· One (1) year of work experience supporting student activities and/or programs.
PREFERRED QUALIFICATIONS
· Experience working with campus administrative functions and units (human resources, space utilization, etc.).
KNOWLEDGE, SKILLS, AND ABILITIES
· Ability to work with faculty and administrators to plan and implement curricular/co-curricular programs.
· Strong organizational skills, including the ability to manage multiple tasks, prioritize and competently work within specific time frames.
· Strong verbal and written communication skills and the ability to work with a diverse group of people.
· Demonstrated initiative in identifying and solving administrative problems.
· Proficiency in Excel and information or database management systems.
· Effective working knowledge of computer operations and databases.
· Excellent editing skills.
SALARY AND APPOINTMENT INFORMATION
This is a 100% full-time Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible. The minimum salary for this position is $55,000 commensurate with experience and qualifications. Hybrid work options may be available for this position, with the ability to be on-site as needed. Work authorization is not available for this position.
