Mailroom Technician

SURS is seeking a Mailroom Technician to provide support service in a variety of functions in the mail room. If you have an eye for detail and possess strong organizational skills, this position offers the ability to make an impact on SURS and its members.

What You’ll Do


The primary functions of the Mailroom Technician are to accurately sort and distribute all incoming mail from SURS members and to process all outgoing mail. In addition, this position performs data entry and validation to SURS member profiles to maintain accurate and up-to-date information. This individual will also aide in stocking the kitchen and supply rooms as needed.


Main Duties

  • Process incoming and outgoing mail, data entry work and member information verification and update on the Pension Administration System (PAS). This includes:
    • Beneficiary Designations, births, marriages, addresses, and name changes
  • Communicate with employers’ representatives for new members’ addresses update for retirement election packets resending.
  • Prepare materials for staff and members which includes new hire retirement election packets, counselors’ retirement folders, office supplies, overnight packages, and daily and monthly checks.
  • Process and scan all incoming mail and internal documents in FileNet within standards and timely.
  • Operate office equipment including metering and folding machines, pressure sealer, and image processing scanner.
  • Distribute office supplies throughout the buildings.
  • Complete other duties as assigned by the Support Services Manager.

Required Qualifications


  1. High school diploma or equivalent.
  2. Any one or combination totaling six (6) months from the categories below:
    1. College coursework in any curriculum as measured by the following conversion table or its proportional equivalent:
      • 15 semester hours equals six (6) months
    2. Work experience performing office/clerical activities, including use of computer systems.

Knowledge, Skills & Abilities

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Knowledge of computers and computer systems (including hardware and software) to enter data, or process information.
  • Skill in material resources management through obtaining and seeing to the appropriate use of equipment, facilities, and materials needed to do certain work.
  • Skill in communicating effectively, both verbally and in writing as appropriate for the needs of the audience.
  • Skill in decision making by considering the relative costs and benefits of potential actions and choosing the most appropriate one.
  • Ability to arrange things or actions in a certain order or pattern according to a specific rule or set of rules (e.g., patterns of numbers, letters, words, pictures, mathematical operations).
  • Ability to combine pieces of information to form general rules or conclusions (includes finding a relationship among seemingly unrelated events).

Work Environment & Compensation

  • Full-time position based in Champaign, IL
  • In-office requirement 5 days per week
  • The starting hourly range for this position is $17.07 - $19.63. This is a competitive salary, taking into consideration experience and internal equity.
  • Standard 37.5-hour work week
