Part-Time Administrative Assistant, Center for Excellence in Teaching and Learning (CETL)

Hourly Rate: $16.91

The Administrative Assistant for the Center for Excellence in Teaching and Learning (from hereon, CETL) is responsible for providing administrative support, including organizing and facilitating the operational flow of the department, greeting and directing visitors, and providing clerical support to the Director and departmental staff.

Essential Job Functions:

  • Provide clerical support to the Director and departmental staff; maintain and manage calendars and databases; schedule meetings; coordinate calendars.
  • Coordinate programming, event, and meeting logistics including reservations, space layout, and IT
  • Manage the front desk and office operations, including greeting Center guests, answering the center’s phone line, and responding to the Center’s email inbox.
  • Handle all travel arrangements, conference registrations, accommodations, and reimbursements.
  • Oversee management of multiple budget lines; reconcile P-Card expenditures; process requisitions and other forms.
  • Purchase office supplies, including technology and break room hospitality supplies, maintain efficiency in office operations.
  • Oversee the onboarding logistics for new staff members, including coordinating IT, office setup, and training.
  • Establish and document office policies and procedures for the Center.
  • Maintain communications with different constituents to serve as a referral service and a resource unit for faculty and staff:
    o Update CETL website as necessary
    o Maintain listservs.
    o Administer current calendar and registration site.
  • Maintain positive relationships with administrative assistants, department chairs, and administrative staff to coordinate activities, and carry out other duties.
  • Other duties as assigned.

Minimum Requirements:

  • Associates degree; OR three (3) years related office experience; OR an equivalent combination of education and work experience.
  • Experience with bookkeeping or accounting.
  • Excellent customer service and interpersonal skills.
  • Exceptional attention to detail and accuracy.
  • Ability to multitask and be detail oriented.
  • Verbal, mathematical, and technical abilities sufficient to produce printed materials, communicate effectively, and perform other duties.
  • Functional ability in Microsoft Office applications, with the ability to learn new programs as technology changes.
  • In an effort to comply with SURS return-to-work restrictions for employers (40 ILCS 5/15-139.5), candidates for employment at Parkland College must either not be a SURS annuitant or must be willing to suspend his/her SURS annuity upon employment. This applies to all SURS annuitants except those receiving their annuity under either the Self-Managed Plan (SMP) or by lump sum payment.
