Description

We are seeking a highly motivated Dispatcher/Maintenance Coordinator to join our awesome team here at Fairlawn! The ideal candidate will embody Fairlawn’s core values: Be Kind, Own It, Be Flexible, and Always Improve.

The Dispatcher/Maintenance Coordinator will support our Champaign-Urbana Property Management Team and is accountable for scheduling and dispatch of all work orders for a collection of properties, work order follow-up, and purchase order preparation and execution. The ideal candidate will have a general understanding of facilities management, superior attention to detail, and the ability to prioritize competing tasks in the moment.

What will you do?

  • Serve as front-line maintenance customer service including reviewing requests coming in via our call center and online, contacting residents to troubleshoot and update on request status, and following up with residents to ensure satisfaction
  • Evaluate work orders/maintenance tickets to determine the type of issue (e.g. HVAC, plumbing, electrical, custodial, carpentry, etc.) and appropriate dispatching levels
  • Own scheduling and dispatching work orders within the Champaign-Urbana market including scheduling internal and vendor work orders, tracking and ensuring work is completed to specifications and actual charges are as quoted
  • Coordinate Unit Turn Work orders to ensure units are cleaned and maintained in preparation for moving in new residents
  • Review and approve vendor bills for payment
  • Maintain good rapport with current and prospective residents, including corresponding directly with existing residents on access to their units (e.g. for preventative maintenance, pest control, etc.)
  • Benchmark vendor rates to ensure we have access to the best rates for our clients
  • Maintain key control for all unit and building keys
  • Vehicle Management
  • E-mail correspondence with customers and contractors promptly and with kindness
  • Learn and ensure compliance with all Fair Housing Laws including local, state, and federal housing regulations (We provide training)

Requirements

Who you are – We’d love to hear from you if you:

  • At least 3 years of office experience in dispatching or scheduling in a fast-paced environment
  • At least 1 year experience in property management, construction or within a maintenance organization or advanced knowledge of HVAC, Plumbing, or Electrical
  • Have previous direct customer service experience
  • Hold a high school diploma or GED
  • Are proficient with relevant technology (e.g. Microsoft Office, AppFolio, Outlook) and can easily adapt to changing technology
  • Have the ability to work overtime as needed during high-demand times and capacity shortages
  • Have an understanding of general maintenance and how to troubleshoot basic requests
  • Have excellent interpersonal, written, and verbal communication skills
  • Demonstrate superior attention to detail, high energy, and a positive attitude

Some additional things you will need:

  • Valid driver’s license and dependable vehicle. Limited in-town usage of personal vehicle for errands and property visits required any out-of-county personal mileage reimbursed at the Federal rate
  • Availability to work longer hours and weekends during market turnover in July and August (specific dates vary from year to year)
  • Must be able to perform the physical functions of the position, not limited to long periods of sitting, using a keyboard, and typing for extended and consistent hours of each working day, lifting up to 50 pounds.
