Description

Are you a highly organized and detail-oriented professional with extensive experience providing administrative support to senior-level executives? Then join the City Manager’s Office as an Administrative Assistant and play a critical role in supporting the City of Champaign’s leadership team.

Responsibilities of Position

The Administrative Assistant collaborates with other department staff to provide administrative and secretarial support to multiple senior-level officials, including the City Manager, Mayor, City Council Members, Deputy City Managers, and other department staff. The individual in this position must be highly organized, work well under pressure, have experience multitasking, have exceptional interpersonal skills, and be able to exercise discretion and diplomacy.

The Administrative Assistant provides high-quality customer service, manages correspondence and complex schedules for multiple executives, follows professional business writing standards, assists with public communication tasks (e.g., updating websites, editing newsletters, drafting proclamations), and maintains department records in accordance with the City's record storage and retention policy and procedures. The Administrative Assistant must be able to follow and interpret established policies and procedures. This position also processes accounts payable, timekeeping, budget entry, and performs other tasks that require a high attention to detail.

The Administrative Assistant must demonstrate a high level of initiative, accuracy, and accountability, and be able to work both independently and as part of a team. The Administrative Assistant may be required to occasionally work outside of regular work hours for meetings or other events or the performance of assigned job duties.

Required Qualifications

  • High school diploma or equivalent. Completed coursework without a diploma or certificate will be considered.
  • Additional business-related coursework or training.
  • Extensive progressively responsible administrative experience requiring critical thinking skills, project coordination and oversight, organizational skills, confidentiality, and accuracy.
  • Experience providing customer service in an office setting.
  • Exceptional verbal and written communication skills.
  • Demonstrated proficiency with Microsoft 365 applications (Outlook, Word, Excel, PowerPoint) or similar software.
  • An equivalent combination of work experience and education that demonstrates the required knowledge, skills, and abilities will be considered.

Preferred Qualifications

  • Associate degree or certification as an administrative professional.
  • Experience providing administrative support for a chief executive, which may include managing complex schedules, gatekeeping access to the person and/or sensitive information, anticipating business-related needs, and drafting correspondence in the executive's voice, while working in a highly visible, fast-paced environment.
  • Experience preparing professional business correspondence.
  • Experience assisting with public communication tasks, which may include updating websites, creating social media content, editing newsletters, or writing proclamations.
Drug screening and criminal background check required. The annual starting salary range is $59,781 - $68,055 DOQ, plus an excellent fringe benefits package. Applications must be submitted online no later than Sunday, February 15, 2026.
