Overview
General Summary of Duties
Christie Clinic's department of OB/GYN is seeking a full-time Administrative Coordinator at the University clinic from Monday-Thursday 7:30am-5:00pm and Friday from 7:30am-11:30am, with no night or weekend requirements.
Duties include supervision over the Obstetrics/Gynecology department and acting as a liaison between department staff, patients and providers.
Job Qualifications and Expectations
JOB DUTIES: (This list may not include all of the duties assigned.)
- Approve staff member vacation and time off requests.
- Act as time clock manager.
- Establish and maintain staffing schedules to ensure appropriate coverage. Request Float coverage, as needed.
- Interview prospective staff members and oversee the training of new employees.
- Conduct job performance evaluations, including coaching employees to improve performance. Perform conflict control and initiate disciplinary action, as needed.
- Coordinate and assist in the interview process of new providers.
- Assist in the integration of new providers to the office.
- Interact with other department coordinators to improve processes.
- Monitor processes within the department for quality.
- Assist with developing and maturing the utilization of Christie Leadership System.
- Assist in setting agenda for provider meetings and attend coordinator meetings.
- Communicate with staff members on any pertinent information.
- Address billing and coding concerns.
- Facilitate and investigate the purchase of new equipment.
- Provide information to the manager to create and maintain the budget.
- Assist in creating department policies and procedures.
- Address Business Office concerns relative to same day appointments.
- Maintain pharmaceutical supplies, medical supplies, and equipment.
- Act as a patient liaison to resolve customer concerns.
- Prevent distractions within the department and keep employees on task.
- Coordinate processes with outside facility coordinators, as needed.
- Oversee all operational functions of the office practice.
- Uphold CLIA compliance.
- Perform related work as required.
REQUIRED QUALIFICATIONS:
- High School Diploma or equivalent
- Supervisory and training experience
PREFERRED QUALIFICATIONS:
- Preferred leadership experience
- Preferred clinical experience

TYPICAL PHYSICAL DEMANDS:
Demands include sitting, standing, walking, bending, stooping, stretching and lifting up to 25 pounds. Hearing within, or correctable to, normal range, vision correctable to 20/20 and manual dexterity for the operation of office equipment is required.
TYPICAL WORKING CONDITIONS:
Work is performed in a medical office setting with possible exposure to communicable diseases, toxic substances, hazardous waste, bodily fluids and other waste common to a health care environment. Requirements may include working irregular hours.
