General Summary of Duties
Christie Clinic's department of Orthopedics/Sports Medicine is seeking a full-time Medical Assistant/Insurance Specialist/Administrative Coordinator at the Fields clinic from Monday-Friday 7:55am-5:00pm, with no night or weekend requirements.
Duties include getting authorizations and appealing denials for MRI, CT, Scans and injectables for Orthopedic patients, answering incoming phone calls when needed, performance of skills through the delivery of patient care using a systematic patient assessment, scheduling appointments and assisting with the checkout or rescheduling process, supervision over the Orthopedic/Sports Medicine department and acting as a liaison between department staff, patients, and providers.
Job Qualifications and Expectations
JOB DUTIES: (This list may not include all of the duties assigned.)

Prepare exam and treatment rooms with necessary instruments prior to appointment. Clean and restock following appointment.

Assist patients in the exam room, take vitals, weight and height of patient. Enter information into the electronic medical record.

Verify and update necessary demographic information.

Flag appropriate room for provider to see patients.

Assist with procedures during appointment.
-
Remove sutures, staples, etc., as needed.

Perform dressing changes.
-
Remove/reapply casts.
-
Schedule referral visits, tests, labs and appointments, as requested.
-
Ensure patient completes all paperwork pertaining to the office visit including insurance information, etc. prior to patient seeing provider.

Enter adult history forms into the electronic medical record.
-
Send P2P to referring providers and address TE’s.
-
Review online transcription prior to patient appointment and update during appointment as necessary.
-
Order and maintain relevant office supplies for department effectiveness.

Educate patients regarding medications, injections, dressings, etc.
-
Complete chart preparation and prepare x-ray orders, as needed.

Check EPIC In Basket in TE’s, Rx, Orders, Patient Portal Questions/Requests, etc daily and reply

Fill out requirements for FMLA

Email UHS for work comp approvals

Acquiring authorizations and appealing denials for external MRI, all CT scans and injectables for Orthopedic/Sports Medicine Department

Greet patients and visitors in an efficient, professional and courteous manner.

Update/block provider schedules in Epic/request schedule changes with HI.

Provide monthly Provider Call Schedule and Staff Calendar Schedule

Keep a neat and orderly work and lobby area.

Act as a time clock manager.
-
Approve staff member vacation and time off requests. Request floats staff as needed.

Interview prospective staff members. Oversee the training of new staff members.

Perform conflict control throughout the department.

Conduct daily huddle meeting.
-
Attend coordinator meetings as required. Following coordinator meetings, inform employees on any new information pertinent to their position.

Create and maintain yearly department budget.

Conduct job evaluations and ensure that employees are up to date on department policies and procedures and certification.

Appease patient complaints.
-
Prevent distractions within the department and keep employees on task.

Oversee all operational functions of the office practice.

Compile monthly expenses and mileage reports for Dept.
-
Weekly tracking of metrics.
-
Conduct and schedule monthly staff dept. meetings.
-
Conduct and schedule quarterly provider dept. meetings.
-
Maintain and update huddle board daily.
-
Organize Depositions, Narratives, IME payments/schedule conference rooms, etc. between providers and law offices.

Oversee and approve student job shadowing for providers and work with HR and area schools, i.e., H.S., colleges, Carle Med school to coordinate clinic time schedules.

Maintain relevant office supplies for department effectiveness when necessary.

Check Downtime computer monthly/complete report.

Perform related work as required.
REQUIRED QUALIFICATIONS:

High School Diploma or equivalent

Certified Nurse Assistant Certificate and/or graduation from an accredited program for medical assistants
PREFERRED QUALIFICATIONS:

Previous health care experience

TYPICAL PHYSICAL DEMANDS:
Demands include sitting, standing, walking, bending, stooping, stretching and lifting up to 50 pounds. Hearing within, or correctable to, a normal range, vision correctable to 20/20 and manual dexterity for the operation of office equipment is required.
TYPICAL WORKING CONDITIONS:
Work is performed in a clinical setting with possible exposure to communicable diseases, toxic substances, hazardous waste, bodily fluids and other waste common to a health care environment. Requirements may include working irregular hours.
