Summary

The Virginia Theatre Event Supervisor oversees operations during public and private events at the Virginia Theatre. This role ensures an excellent patron experience, is the onsite supervision for part-time staff, supervises and trains volunteers, and coordinates on-site security.


Qualifications

  • Must be at least 18 years of age.
  • Minimum of 2 years of experience in management, theatre operations, or event coordination in a similar setting.
  • Familiarity with live event dynamics, including theatre productions, concerts, and film screenings is preferred
  • Proven ability to supervise and train teams, including volunteers.
  • Strong communication skills with experience in customer service, resolving complaints, and working with patrons, staff, and vendors.
  • Excellent at multitasking and prioritizing.
  • Proficient with point-of-sale systems, office software, and event management tools.
  • Willingness to work flexible hours, including evenings, weekends, and holidays, as required by event schedules.
  • Valid driver’s license with clean driving record.

Supervision

The Virginia Theatre Event Supervisor reports to Virginia Theatre Operations Manager. The Virginia Theatre Event Supervisor supervises volunteers and onsite part-time staff and contractors.


Classification

  • Non-Exempt, hourly
  • Part-time 1 (not to exceed 29 hours per week)

Essential Functions

  • Follow all Champaign Park District safety policies and perform all work in a manner that ensures the safety of oneself, the public, and fellow employees.
  • Demonstrate a high level of professionalism and discretion in all interactions, including maintaining strict confidentiality regarding staff information, communications from supervisors, and conversations with parents or patrons. Uphold the Park District’s policies and standards for data privacy and confidentiality at all times.
  • Manage the Virginia Theatre front-of-house at both public and private events.
  • Oversee front-of-house operations during events, including patron entry, crowd control, and event flow.
  • Responsible for front-of-house setup and teardown for all events, including those requiring work the day before or after.
  • Supervise part-time staff, ensuring excellent customer service and adherence to all policies.
  • Ensure volunteers have necessary information for the event, assign and train volunteers on any tasks they will be expected to do at an event and be available to assist with questions.
  • Coordinating with security contractors keeps the Virginia Theatre a safe and welcoming environment.
  • Coordinate and communicate with Building Service Worker Supervisor and cleaning contractors to communicate any issues or changes to the schedule on the day of the event.
  • Ensure proper signage is displayed throughout the theatre in coordination with the Patron Services Manager & Virginia Theatre Operations Manager.
  • Coordinate post-event wrap-up, assisting with closing procedures.
  • Stay informed of operational and event-related communications and attend relevant meetings to ensure alignment with theatre operation.

Physiological Considerations

  • Must be able to stand for extended periods during events.
  • Regularly required to lift and move objects up to 40 pounds, including event equipment and supplies.
  • Frequent bending, reaching, and physical activity related to event setup and teardown.
  • Ability to move quickly in emergency situations and assist with crowd control if needed.

Environmental Considerations

  • Must be able to work irregular hours, including evenings, weekends, and holidays.
  • Exposure to loud noises during performances and crowded event spaces.
  • Work may be performed in a variety of indoor and outdoor settings, depending on the event.
  • May be exposed to extreme temperatures when working outside for certain events.
