Description

Summary

The Volunteer Coordinator at the Champaign Park District plays a pivotal role in enhancing community engagement through volunteer programs. This position encompasses recruiting, training, and evaluating volunteers, coordinating district-wide programs, and managing administrative duties. As the Volunteer Coordinator, you will spearhead recruitment, training, and supervision of volunteers for our parks and recreational programs. Your duties also include aligning volunteers with suitable tasks, maintaining records, and fostering positive relationships with volunteers, staff, and community partners.


Qualifications

  • Must be at least 18 years of age.
  • Must possess a high school diploma or the equivalent.
  • Must have at least two (2) years of successful experience in volunteer program management, community outreach non-profit management or related fields.
  • Must possess a valid Illinois driver’s license.
  • Strong organizational and planning skills with the ability to manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to build relationships with diverse individuals.
  • Ability to prepare and deliver effective presentations before civic, professional, and other community groups.
  • Passion for parks and recreation, and community engagement.
  • Proficiency in Microsoft Office Suite and volunteer management software preferred.
  • Strong leadership skills with ability to motivate and encourage others.
  • Available to work in the evenings and on weekends.

Supervision

The Volunteer Coordinator is responsible to the Human Resources Manager.


Classification

  • Non-Exempt, hourly
  • Part-Time 1 (not to exceed 29 hours per week)

Training – Can be obtained through the Champaign Park District

  • First Aid, AED, and CPR Certification
  • Heads Up Concussion training
  • Mandated reporter training
  • Harassment prevention training
  • Bloodborne pathogen training
  • Recreation software system training
  • Drivers training and test
  • Facility training

Essential Functions

  • Follow all Champaign Park District safety policies and perform all work in a manner that ensures the safety of oneself, the public, and fellow employees.
  • Demonstrate a high level of professionalism and discretion in all interactions, including maintaining strict confidentiality regarding staff information, communications from supervisors, and conversations with parents or patrons. Uphold the Park District’s policies and standards for data privacy and confidentiality at all times.
  • Oversee, direct, implement and evaluate all district-wide needs for volunteers and volunteer opportunities.
  • Develop and propose new volunteer opportunities, events, and related programs.
  • Drafts, maintains, and publishes guidelines, best practices, and procedures for volunteer programs.
  • Coordinates volunteer recognition and appreciation events and activities.
  • Evaluates the effectiveness of the District’s volunteer program using metrics, reporting these findings and making recommendations for better practices to ensure continuous improvement on a regular basis to their supervisor
  • Handle administrative tasks, assignments and projects requested by the Department Head and the Supervisor.
  • Maintain records of all applicable programs, activities, facilities, volunteers, and personnel.
  • Develop and implement creative recruitment strategies to attract diverse volunteers of all ages and backgrounds.
  • Match volunteers' skills and interests with suitable opportunities across park departments and programs.
  • Oversee the recruitment, placement, supervision and recognition of all district-wide volunteers.
  • Assists departments/programs with scheduling volunteers effectively and creating a positive volunteer experience.
  • Provide ongoing support and training to encourage volunteers to feel equipped and valued.
  • Ensure volunteers undergo background checks, and proper training, and submit required paperwork.
  • Create marketing strategies and campaigns to recruit volunteers both online and at events.
  • Partner with community organizations, schools, and businesses to expand volunteer outreach.
  • Conduct volunteer orientation sessions welcoming new volunteers and providing essential information.
  • Provide safe environments for all volunteers.
  • Conduct preliminary investigations and follow up on all incident/accident reports
  • Meet regularly with the Supervisor and communicate regularly with all staff to discuss daily operations, and volunteer needs.
  • Establish and maintain an effective working relationship with groups, individuals, and recreation professionals.
  • Provide effective communication and working relationships with staff, coworkers, and participants.
  • Prepare and monitor the annual budget for all applicable areas of responsibility.
  • Track and manage all volunteer hours and efforts for annual report.
  • Responsible for volunteer reports, meetings, and submission of information to the Marketing Department.
  • Perform all functions and tasks with the highest regard to quality.
  • Responsible for Adopt-A-Park program and activities.

Physiological Considerations

  • Extensive computer use.
  • Routinely work on evenings and weekends.
  • Must be able to lift supplies and equipment (approximately up to 50 pounds) when needed.

Environmental Considerations

  • Must be able to work in a shared office environment.
  • May be exposed to all weather conditions including rain, wind, snow, and extreme temperatures.
